How do you decide which swimlane to assign a task or event to in BPMN?

The first crucial step in BPMN is identifying the roles involved in the process. In my experience, getting this right is foundational for successful process mapping. For instance, in a project management process, identifying roles such as 'Project Manager,' 'Team Lead,' and 'Quality Assurance' allowed for a clear delineation of responsibilities and streamlined workflow.

It's important to do a synthesis of the business rules from the documentation, the stakeholders interview in order to identify the roles and put them in the layers on a process map.

When working with stakeholders to develop process models they can find it challenging to know when the process ends. I've found clearly communicating the outcome(s) which I'm focusing on in the process, helps to narrow down the scope. So, once the outcomes has been accomplished, that's where the process model ends.

Defining the scope of the process is essential to ensure that tasks and events are accurately assigned. In a logistics process improvement project, we clearly defined the process scope, which included procurement, transportation, and delivery, thereby facilitating effective task allocation within these areas.

I love using BPMN modelling however, I start by creating a simple model (think squares, lines and a bunch of notes) when collaborating with stakeholders to focus more on the flow of the conversation rather than the use of the right symbol.
