How do you create a check-in system for events?

Different methods can be used to check-in guests. The more practical option is to screenshot the QR code and show it at the check-in. You don't need to have internet if you save the QR code prior to the event. The other method is to print a copy of your ticket. It might work well for those who do not have access to the printer. Public libraries could be great resources to use for printing your tickets for a much more affordable price if you don't have a printer. Facial recognition is a modern and innovative option that companies started using lately. However, individuals who are concerned about privacy avoid using face recognition to check-in. It is recommended that event organizers decide on the check-in options in advance to avoid line.

I believe it's best to have a hybrid system considering events invite people with different backgrounds & experiences in a manner similar to airports - 1. Default being QR code based which most attendees can use. It's a good practice to send it over mail on registration as well for easy access. 2. Few check in kiosks for those having trouble with internet connectivity 3. Staff that can facilitate check-in for those where option 1 & 2 isn't working. Again this is for large events, for small events just a paper list should suffice.

Check in depends on nature of events, if the event needs proper scanning than card or sticker with QR code to be created and issued to individual and proper check in to be ensured. Some events are opened organised in the company if so than only check in to be done by scanning employees company,s cards.

My favourite method of check in setup involves a multi-step check-in that dilute the process in many short and easy going steps. Also try to involve the guests in the process, to alleviate his boredom and influence his perception of time. So for example, instead of having 1 single check gate, create multiple steps of dynamic control, and in each step the guest will build up the info and the documentation needed to enter the event without stopping the process of the other guests

The agenda and content definitely dictate the check-in method. This helps us define what data do we want and need to capture and why. If it’s for example a really interactive and engaging activation then we want to include the check-in process is aligned and part of that whole experience. If it’s a small, high-level confidential meeting then the individuals gets discreetly checked-in and the team observe and take notes. So overall, it really depends what we want to achieve, how do we make that process easy and seamless and why are we doing it that way :)

One of the events that I attended not long ago, didn't have a backup plan to replace the check-in devices. The tablet that they were using for check-in crashed and the team was not able to check-in guests. It wasn't a great experience for guests to stay in line and wait until they figured out how to fix it. To avoid similar issues, make sure you always have additional devices such as laptops, tablets, cell phones, and printers in case you need to help the guest to print the ticket last minute. Check and test all the equipment including internet connection prior to the event. It is always helpful to have both hard copy and digital copies of the guest list, QR codes, and ticket numbers.

It is also important to think through these options and to make a decision far in advance of opening your ticket sales or event registration. Ensuring you have time to test your system and troubleshoot any issues.

Paper and pen along with sign in sheets are the backup plan. Also, having all attendees to fill out the surveys before they leave is important.

Checking everything before the event allows you to save time and be confident before the event is due to begin. You can be sure all is in order.

While all pre-event system tests and checks are all important to have and do prior to the event, always keep mind Sod's law. I would recommend having, as a backup, a hard copy of all registered attendees, with a registration number, name and if possible a personal Gov ID in order to verify and allow in. So if the worst is to happen, staff can still check against hard copies, allowing entrance by Ref / name and proof of identity. As this may be a longer process, it may be wise to have some of the staff, trained and prepared to carry out additional duties in emergencies like this.

Just like a hotel the check in is one of the major contributors to overall satisfaction, I have found that the first impressions people have during registration makes a significant difference. The que length is something one should monitor actively, anytime the waiting time goes beyond 5 minutes, we are letting our attendees down

The training should include: - Welcoming guests - Checking tickets/badges/list - Organizing and finding name tags - Using technical equipment (to scan, print, etc) - Last-minute check-in - Onsite payment - Guest communication If your guest list includes sponsors, VIPs, etc, make sure to assign the roles and responsibilities accordingly.

Training staff and keeping records of Training are vitally important. It gives ataff confidence and you can see where the weaknesses are for future Training.

Since the lockdown many of the events or just about any service has had to shift into more tech. Some of the conveniences from the QR codes for a restaurant/bar menu to an air bnb has these functions that rely on a smartphone. Sometimes my more seasoned volunteers and staff had a hard time with these new systems so we generally paired people from multiple generations together to help ease these transitions. It was also worth it to use the same check in and out system with smaller events. It was especially helpful when we no longer kept cash at the bar/concession stand relying on a card reader or scan feature or just straight Venmo for everything.

Make sure the team is well-prepared and well-staffed. If you use RFID wristbands be sure to have an alternate method that can verify a ticket completely without the internet. If signed paperwork/waiver is required for entry, make it available prior to the event. A team member can also pass out paperwork to those waiting in line to expedite the process. Create ONE line queue that leads to multiple check-in areas. Hand out programs, nametags, and other materials at a separate welcome area past check-in. This will keep the check-in process moving and ensure that guests don’t need to return to the check-in area to claim items. The welcome area can also be a space to answer any questions the participant has about the event.

Real-Time Data Access: Make sure your staff can access attendee data in real-time to address any issues.

Patience is a virtue and being able to handle all situations is a must. Listen to customers first and then decide on a course of action.

Aside from the necessary information highlighted, I also like to link out to a long-form FAQ that includes every question that I imagine that attendees will have. Designating a point of contact who will answer any incoming questions is helpful, and hopefully they're available throughout the event and afterwards too!

I have found success using Zoho Backstage, with a site dedicated for the event. Everything attendees need to know ... from the agenda to speaker bios to outing information is all in one place and continually updated. I always piggyback with emails, but constantly provide links to the event website.

In my experience, the organizers would send emails before and after the event with specific details about the event. Email reminders is a great way to remind the attendees about the event. Post-event surveys is a great way of collecting feedback.

Consider using an IOS/Android App that all attendees can download, so that you are able to communicate, update and push notifications to attendees, throughout the event, and collect data, such as feedback and most popular event within the event (if the event is a collection of events, some of which happening at the same time as another e.g. talks, lectures, shows etc) and other statistics.

For event communication, it's best to start with a clear and easy-to-use website or landing page. This site can be a one-stop shop for all important event details, help people book tickets, show maps, and share big news or updates.

This is a bit old fashioned but always printed registration sheets and pens handy. In case the devices fail or system crashes, I recommend coming up with a non-technical plan that will allow the check-in process to keep moving.

I like to personally greet guests at the event. A small gift or swag bag is also a nice touch. It can be inexpensive, but put the focus on including something unique or memorable.
