How do you balance simplicity and creativity in your slide design?

Balancing simplicity and creativity in slide design is all about finding the right mix of clarity and visual appeal. No matter the audience, you need to be clear on the concept of Exploratory data vs Explanatory data. Exploratory data includes all the analysis, charts and graphs that we use to help us understand what the data says. To identify the gold nuggets of information and insight. By its nature, it is detailed and can be overwhelming. By contrast, Explanatory data is only that data that we need to best communicate our findings and insights. In my experience, way too many companies are using Exploratory data as Explanatory data. This is when analysis paralysis shows up. There's simply too much info to digest. Your job is determine (from the explanatory data) what they need to know. Then, you decide how best to visualize that.

I think it also helps to have a "table of contents slide" basically a slide towards the beginning of your presentation, showing what the main topics you plan to address are. When switching between subtopics, it can be useful to have a slide in between with the subtopic title, a picture, or a question - rather than going straight to the next set of bullet points. This gives the reader a visual "break" and helps to clearly show a distinction between your different subtopics.

One of the things that I find most helpful when simplifying the content of a slide is to ask yourself the simple question - "What is the main idea that I want this slide to communicate?" The first thing you do from here is to translate that main idea into a compelling title. Way too often I see titles that tell me what the slide IS like "Brand Switching Summary." This tells me nothing at all about what's going on. A much better title is something like "New Brand Shoppers Account for 15% of Growth." That becomes your main idea and title and it immediately tells the story. Anything in the body of the slide should directly support that. Staying laser focused on the main idea in the title focuses the message and tells a story better

Of all the tips and tricks that I've seen, perhaps the best set of principles for understanding and using contrast are the Gestalt Principles of Design. These principles help you focus the attention where you want it so that you simply and clearly communicate the main message. Some principles include: changing the orientation of an item, change the shape, change the size, use a different color, use a different tone and so on. These are some of the simplest and most powerful ways to draw attention to the item that is most important on the slide. Use these principles to ensure that you are telegraphic in your communications.

Here is one of my mantras - "Just because PowerPoint CAN do it, doesn't mean you SHOULD do it". That is particularly true with animation. The proper use of animation should 'direct' not distract. Here's what I mean. I was working with a VP of sales on their story for their National Sales Meeting. Each page had a different and increasingly more distracting transition. From stage curtains to paper airplanes - the net effect was that the animation completely distracted and took away from the important messages they were trying to communicate. Much better to use minimal, subtle animations so that the audience remains focused on your key messages.

Best advice I ever got - every presentation has to be a mix of "steak & sizzle". The steak is the MEAT of your content. The sizzle is the ENTERTAINMENT. If it's all steak - it's going to be boring. If it's all sizzle - your audience isn't going to learn anything. So anytime I'm putting a preso together, this is something I'm always keeping in mind! You need to have the right balance of STEAK & SIZZLE!

Consistency is great, but sometimes you want to be intentionally different. For example, with so many of the presentations I see, there is a key point or two that the person really wants to stand out. Well, that's a great opportunity to employ intentional differentiation. What's that? That is using a very compelling and often bold look and feel for the one or two slides that are most important in your story. The key is to be very selective and only do it with the most important messages. Being intentionally different has the added benefit of being more memorable. And, more memorable stories help you get More Yeses, More Often.
