Before diving in, pinpoint your project's core aim. Imagine crafting a roadmap: clearly mark your destination (goal) and the necessary stops (tasks) along the way. This clarity steers you clear of unnecessary detours, paving a direct path to insightful, actionable solutions.
Report writing is an expression of creativity and strategy. Clarity arises as the writing process unravels. I have found it to be a good warm-up before the actual writing to find/create a suitable template and chalk out sections & sub-sections. This helps in creating a mental model of what needs to go into the report. Keep another report handy for reference. This helps in breaking the creative blocks. Another hack is to type out whatever you can (let's say under a section) and then revisit after sometime to improvise it with a better perspective of your own writing.
One thing I've found helping in project report writing is a start from assessing of the project's theory of change (TOC) and its results framework. All data and information collected will be assessed their relevance with project's TOC and results framework. By doing this we will not loose our perspective in the report.

It is vital to maintain a balance, providing comprehensive information without overwhelming the stakeholders. This necessitates a two-pronged approach: understanding the audience and aligning the report with the stakeholders' goals and vision.

You can use a standard framework, such as the MECE (mutually exclusive, collectively exhaustive) principle, to ensure that your report covers all the relevant aspects of your topic, without overlapping or omitting any information. It happens often that consultants compile and generate information they consider important but not necessarily useful for the client. When consulting is focused on the usefulness of information, for example providing a solution, answering a specific question, resolving a problem, or generating needed evidence, the likelihood of information overlaps or gaps narrows. Information which does not lead or add value to useful advice for the client should be discarded.
Structure aids clarity. Envision a building's blueprint. Would you trust a building without one? Similarly, employ the MECE principle for your reports. Ensure no overlap or omissions. Imagine it as neatly stacking building blocks - each piece crucial, fitting perfectly in place.

While writing the report, don't get carried over with so much data floating around us. It's always important to keep focus. Hence a rule like 80 -20 (pareto principle) can be handy. If you focus on what causes most of the issue and the insights / analysis can showcase the same ( with visuals) then clients would be able to comprehend it better. Remember: Less the clutter, more the clarity

In my experience one critical practice that always work to identify the efficacy and usefulness of your work is- 1. Read it out loud - Do not skim through, read it word by word aloud. That will not only help you identify redundancies or contradictory information, it will also tell you: A) what are the most interesting pieces in the report B) Will readers be able to hold their interest and attention throughout the report. If not…that’s a red flag 2. If you can, have someone else review it ( a colleague, friend, spouse). If not the entire content some part of it, and observe their reaction, listen to their questions and suggestions. We oftentimes get too attached to our work and hate when someone calls our baby ugly!
