How do you apply project management methodologies and standards to an event project?

Scoping an event is the most vital aspect of event management. Set aside dedicated time to identify objectives and outcomes of the event. As a springboard, you can use a simple question such as 'If this event is a roaring success, how does it look like to you?' Scoping can go beyond just the objectives and outcomes. I personally like to scope the event 'feel', what's the commissioner's wishlist or list of priorities, the delegate profile they like to attend, and of course, the all important budget. All of these will inform what are the options available to them and the long term event planning.

Clearly define the objectives of the event. What is the purpose of the event? What are the goals you want (or need!) to achieve? And ID potential risks and develop strategies to mitigate them early on.

Defining the objectives, deliverables and stakeholders are the three things that can help you keep an event on course, even if everything else changes. Timelines, budgets and roadblocks can shift constantly, but knowing your teams' "true north" can help maintain confidence and focus as you carry forward.

Defining scope for the project is the most crucial and time taking part because here we draw boundaries to avoid scope creep during execution, and also so avoid any budget overruns. Work breakdown structure mapped with stakeholders is what I use while planning any of the projects.

The Agile project management methodology is one of the most common project management processes. But the reality is that Agile isn’t technically a methodology. Instead, it’s best defined as a project management principle. Collaborative , fast and effective , iterative and data-backed , values individuals over processes.

Apply strategies like CRM, emphasizing resource management, and PERT, focused on task timelines. CRM optimizes critical event resources, ensuring smooth flow, while PERT breaks down tasks, sequences them, and identifies critical paths for timely execution. A hybrid approach integrating both methodologies could efficiently manage event resources, task sequences, and timelines for successful event planning and execution.

Project methodology can be different depending on the type of project and amount of certainty involved in the activities planned under WBS. One should choose project methodology based on even type, complexity, predictability etc. I personally believe a mixture of different methods (Hybrid) works the best.

Communication Management: I develop a communication plan that outlines how team members will communicate and ensure that all stakeholders receive regular updates. Risk Management: Identify all potential risks that could impact the event and develop a plan to address potential risks. Procurement Management: I identify appropriate suppliers for the services and products required for the event, compare bids to ensure best value and ensure all contracts with suppliers are clear and specific. Integration Management: I ensure that all aspects of the project work together to achieve the event’s ultimate goals. Project Closure: I review all aspects of the project to determine if the desired goals are being met.

Identifying your risks, prioritizing, and preplanning possible solutions is critical to mitigating those risks that may develop. Events are fluid so having the ability to pivot can help you deliver the best possible outcome that will satisfy your clients' needs.

When strategizing your event project, it's crucial to designate responsibilities to the appropriate team members and establish a well-defined timeline, along with comprehensive action plans outlining the steps to task completion. Personally, I find tools like Office365 Kanban boards or Trello useful for fostering cross-team event collaboration and facilitating effective communication within the team. These tools not only aid in resource management and budget tracking but also allow you to closely monitor progress and ensure everything stays on track.

One area that frequently requires examinations in this phase is the “what if or contingency” planning phase. It is critical to ensure that all resources, speakers, even facilities have back up plans just in case the unexpected happens.

Planning is a fundamental aspect, and anticipating risks with contingency plans (Plan B, C, and even D) is valuable. Yet, the beauty of events lies in their natural flow, which organizers should embrace. Feeling the innate nature of processes within planning, production, and execution requires profound skills, cultivated through experience with various events for diverse audiences in different locations.

When it comes to executing events, we delve into the agenda, runsheet, and on-the-day responsibilities. An agenda serves as the framework for outlining key activities and respective timelines, while the runsheet delves into the granular details, specifying tasks, actions, and the responsible parties—all of which are essential for ensuring a seamless event delivery. Providing vendors with a concise briefing upon their arrival is also pivotal. This not only reiterates the procedures but also helps build rapport, ensuring everyone is aligned and prepared to address any unexpected changes that may arise.

The fifth and most crucial step in managing event projects is to monitor and control your progress. To keep things on track, focus on these key metrics: 1. Timeline Adherence: Regularly check if tasks are being completed on time. 2. Budget Tracking: Monitor expenses to ensure you stay within budget. 3. Resource Utilization: Ensure all resources, including personnel and materials, are used efficiently. 4. Attendee Satisfaction: Gather real-time feedback from attendees to gauge their satisfaction and make adjustments as needed. 5. Risk Management: Keep an eye on potential risks and have contingency plans ready.

For effective "Monitor and Control" in event management, deploy tools like Asana, Trello, and Jira for tracking tasks and progress. Visual aids such as Gantt charts and Kanban boards offer clear oversight of timelines and dependencies. Communication tools like Slack facilitate seamless team interaction. Issue tracking systems such as JIRA centralize problem resolution. Data analysis tools like Tableau provide insights for informed decisions. Event platforms like Eventbrite offer real-time data, enabling continual tracking and adjustments during event execution.

For all of my events, closing the event means soliciting feedback from attendees, stakeholders and my team. Then sorting through response data for big wins, largest areas of improvements, trends and ways to structure team management moving forward. Always be improving!

Always celebrate success. Engage in a continuous cycle of giving and receiving feedback, paying attention to even the smallest details that emerge after an event. Find yourself contemplating, ‘What kind of idea should be next for a client?’ after successfully executing an event. Always document your thoughts for reference when it’s time to pitch new ideas.
