In my experience creating meaningful community engagement requires working in partnership with the community you are serving. Developing committees that identify local needs that attendees can both learn about and take action during an event has been very successful. Onsite and offsite service projects coupled with educational opportunities support service and learning. Social responsibility should be a value that drives decision-making at all levels. From venue selection and communication vehicles to give-aways and food selection, social responsibility should be a consideration.

Ideally, this “purpose” will be aligned with the work your organisation does. For example, if you are a bank, identify what financial inclusion initiatives are being implemented within your organisation, and choose an event venue and theme that matches this work.

2 Select a venue and a supplier

The next step is to choose a venue and a supplier that support your purpose and theme and that demonstrate social responsibility and community engagement. Look for venues that have green certifications, that use renewable energy sources, that recycle and reduce waste, that offer accessibility and inclusivity features, and that partner with local organizations and initiatives. Likewise, look for suppliers that have ethical and sustainable practices, that source local and organic products, that pay fair wages and respect workers' rights, and that donate or volunteer for social causes.

This is incredibly important if you don’t want to be a hypocrite. Ensure that the supplier has the necessary certifications— B Corp is a good starting point. If you are serving food, work with the caterers on donating the excess to shelters. Reduce the carbon footprint of your attendees by picking venues that are close to public transportation links. And ensure as little waste is generated as possible by working with digital interfaces.

3 Design activities and communication strategies

The third step is to design activities and communication strategies that promote social responsibility and community engagement among your attendees and your host community. Think of ways to involve your attendees in learning, sharing, and taking action on the social and environmental issues that relate to your purpose and theme. For example, you can organize workshops, panels, or roundtables with experts and activists, you can create interactive exhibits or displays that showcase local projects or challenges, you can facilitate networking or mentoring opportunities with local leaders or organizations, or you can arrange volunteering or fundraising activities for a relevant cause. This suggestion as written above seems almost irrelevant. That being said, ideally your activity would tie back to the theme of your eventand communication that you will be doing this should start prior to your event, during your event and almost more importantly POST event. All to often we volunteer but never hear, see, or understand how that effort impacted someone's life? If you went out and helped build homes, why not have some recorded messages from the reciepients back to your group? If you built prosthetic hands, send the pictures of the reciepients with their new appendage back to the builders. And if you donated $, give a detailed report of how it was spend and impacted people.

4 Evaluate and improve

The final step is to evaluate and improve your social responsibility and community engagement efforts. You can measure your impact by using indicators such as attendee satisfaction, engagement, and retention, community feedback and involvement, media coverage and reach, carbon footprint and waste reduction, and donations or pledges made. You can also solicit feedback from your attendees, your host community, your venue, your supplier, and your team on how to improve your social responsibility and community engagement practices for future events.

It is critically important the staff, security and volunteers involved have embraced the Company’s mission, objectives for the public engagement, and commitment to being courteous to others. Leadership should ensure they are informed of the event particulars, including how to respond or not respond to the media, basic logistics of the facility, and when in doubt, get help from someone on the team that is knowledgeable. Also, I recommend having a written “Welcome” agenda posted prominently to inform visitors of activities and event highlights, including event hours! — Thank you for asking! Carmen Carter
