I've always found that taking the time to actually listen and HEAR where the disconnect comes in does wonders. If you make it clear that this discussion is about coming to mutual understanding in order to move forward, some people volunteer info freely. In other situations, you need to ask open ended questions and be clecognisant of the feedback. Make it clear that your goal is to clarify any misconceptions (from all perspectives) from the start so that everyone is working on the project from a clean slate as the ultimate vision is to come up with a clear, shared goal that everyone has had valid input into and believes in.

In my experience I've found that most of the best ideas come from the staff at the coal face so to speak. You only get these ideas if you have an open-door policy and frequently meet (not long formal meetings that take up far too much valuable time) but quick gatherings to chat about situations that arise so that you can air them concisely and have a discussion around possible solution. People who work together in a strong team recognise one another's strengths. By bringing the issue to the fore, you can discuss it openly and 9 times out of 10 either a workaround solution can be found until the technology can be upgraded or a permanent fix can be implemented. You just have to let your teams know that there as NO silly ideas!!

First and foremost, be very clear that all parties are clear on what the problem is. Ensure there are set dates/times for meetings with a deadline in place. From that point on, having listened to and heard various ideas/solutions, and keeping clear records of same, as a group, whittle down to what the team as a whole believe will be the ultimate workable solution to the problem for the team and the company. Constant communication with and updating of all members of the project team is vital with each step of the project. Stick to the topic. Nonverbal communication is as important as verbal. Keep encouraging people to come up with new ideas and do not accept negative speak. At project end, ensure EACH team member is acknowledged!
