How can you use feedback to improve your communication with customers?

My experience came in a Marketing Research class. I did an independent study (Exit Review Survey) on improvements in communication and class size and how they can impact graduate students. This is how I found out not just answers, but questions asked are equally important. I provided the questions; a marketing research company provided the results. My grade was based on interpretation. How you interpret the feedback can provide major changes in how to handle internal and external customers.

First of all, you will need to understand what kind of outcome you wanna achieve. Reverse engineer the data insights to determine what kind of data and information is needed. 90% of feedbacks and data are irrelevant, the best analytics are the one that understand what you want to do, and maximize the data accurately.

Collect Feedback: Establish multiple channels for collecting feedback, such as surveys, social media, customer support interactions, and online reviews. Encourage customers to provide both positive and negative feedback to gain a comprehensive understanding of their experiences. Make the feedback collection process easy and convenient for customers to increase participation.

When you are collecting feedback, the most important considerations are the Who, What, Why, How and When: Who: are you collecting this feedback from? Do they represent your best clients? your worst? What: is in it for them? What outcomes are you driving? Are you offering incentives to those that are offering feedback? Why: are you collecting this feedback? When: are you collecting this feedback? Is it the right time? For instance if you wait until the end of the year is that a good time? Beginning of the year? Should you collect multiple times a year? How: How are you collecting the feedback? Email? Text? Voice calls? Where: are you collecting this feedback? Via the right channels? In the right place in your process?

I analyze user interactions and feedback to identify areas for improvement, adjusting my responses to better meet user needs and enhance communication clarity.

Analyze Feedback: Regularly review and analyze collected feedback to identify recurring themes, common issues, and positive experiences. Categorize feedback based on different aspects of your product or service, such as usability, customer service, and product quality. Use data analytics tools to gain quantitative insights and prioritize areas for improvement.

Offer feedback in a timely manner, but first, consider the situation. If two of your team members had a verbal argument, wait until they have time to cool down before talking to them about how to improve their interpersonal communication skills.

Respond promptly to customer concerns and inquiries, demonstrating a commitment to addressing issues and improving their experience. Share how you plan to address specific concerns, which can help build trust and transparency with your customers.

In this era of hyper personalization, Contextual & Relevant communication is most important. To truly understand customers, one must understand their diverse attitudes, shopping occasions, and need states and build them into an attitudinal segmentation. Such attitudinal segmentation then needs to be layered onto the customer cohorts in order to be able to deliver relevant and contextual communication. The response rate of each attitudinal segment acts as feedback on how to improve the communication further.

Use Feedback Platforms: Leverage dedicated feedback platforms and tools that streamline the collection and analysis processes. Integrate feedback platforms with your customer relationship management (CRM) system for a more holistic view of customer interactions.
