CMMS is a bit out to date now. EAM (Enterprise Asset Management systems) has taken over for some time, with broader reach, deeper functionalities, multi organisation / sites / languages, mobility, IoT and SaaS enabled. Now bridging with APM (Asset Performance Management), AI for predictive Maintenance and analytics. Be sure to study market as technology evolves fast and don't buy a solution which cannot cover your roadmap for the next 5-10 years at least.

All of these are pretty much the same. I have used various versions including EAM. From my perspective it is about first the quality of data input from the shop floor. Second is how that data is used. If all the data is ignored or incorrect then whatever system is used is pretty pointless and expensive.

Continously improving your CMMS is very important in ensuring sustained efficiency of Maintenance at large. A CMMS system at design and at the roll out stage is oftenly not perfect but what I have learnt is that's it's important nevertheless to enforce it's use in all maintenance activities and bridge the gaps with continual improvements as you go. Feedback from the end users becomes very key in achieving and sustaining maintenance efficiency.

CMMS structures There are different roles CMMS that require some different levels to make it effective. There are the users who carryout basic tasks such as raising and closing notifications, work orders, spares requisition and purchase requisition. This cadre use CMMS as a tool to aid the main jobs. In some cases super users may be required to assist the basic users to resolve technical issues arising from the first level. In case master data requires to be changed, higher level authority in the organisation is required to ensure the changes are valid and necessary. A process analysis is important to ensure that the system capacity is utilized to the maximum.
