1 What is 5S and why is it useful?

These words can be translated as Sort, Set in order, Shine, Standardize, and Sustain. 5S was a basic activities to improve manufacturing. Most of the production system including toyota, samsung and etc are including 5S as their fundemental in organizing manufacturing area. Each "S" was easy to understand and educate the workforce / operators to ensure their workplace in good condition. And this activity will help to discipline them to maintain organized workplace. Once the basic implementation are good/strong, then the next innovation idea will come to increase/optimize the manufacturing area.

5S is a continuous improvement approach towards lean transformation in an organization which helps in providing visual control to the process and system. 5S application drives the 30 seconds rule which implies that within the first 30 seconds of observation we should be able to figure out if something is wrong/missing or out of place, provide visibility and control.

2 How to implement Sort in your plant?

The first step of 5S is Sort, which involves removing all items not required for the current production process. This helps to clear up space, reduce clutter, and prevent accidents and errors. To implement Sort, you should identify your work area and scope of sorting, define criteria for what is necessary and what is not, label and separate unnecessary items into categories, dispose of or relocate the unnecessary items according to your criteria, and review and update your sorting process regularly.

3 How to implement Set in order in your plant?

The second step of 5S is Set in order, which involves arranging necessary items in a logical and convenient way to optimize workflow, reduce motion waste, and increase productivity and quality. To implement Set in order, you can identify the optimal location and layout for your work area, arrange tools, materials, and equipment according to their frequency and sequence of use, label and mark everything clearly and consistently, use visual aids such as color codes, signs, or diagrams to guide your work process, and review and improve your setting in order process regularly.

4 How to implement Shine in your plant?

The third step of 5S is Shine, which entails cleaning your work area and equipment thoroughly and frequently. Shining helps maintain equipment performance, prevent defects and breakdowns, and improve safety and morale. To implement Shine, identify the cleaning tasks and responsibilities for your work area, define the cleaning standards and frequency for each task, use appropriate tools and methods to clean your work area and equipment, inspect and report any issues or abnormalities during cleaning, and review and refine your shining process regularly.

This stage comes most easiest for staff and practitioners in theory but if not correct thought about can become sometimes the only step that is focused upon. Cleaning Station Shadow Boards are a great "low hanging fruit" to implement the Shine element of 5S. Shadow Boards support detecting deteriorating or defective cleaning items while at the same time re-enforcing cleaning standards and the Company's Continuous Improvement focus. Perhaps Cleaning Audits and Red Tag Stations can be included on these boards too? Good Luck with your 5S Journey!

5 How to implement Standardize in your plant?

The fourth step of 5S is Standardize, which requires establishing and documenting rules and procedures for the previous three steps. Doing so helps ensure consistency, quality, and efficiency across your plant, and makes 5S a habit for everyone. To implement Standardize, you should identify the best practices and benchmarks for your 5S activities, create and communicate the standard operating procedures (SOPs) for each 5S activity, train and educate your staff on the SOPs and the benefits of 5S, use checklists, audits, or other tools to monitor and evaluate your 5S compliance, and review and update your SOPs regularly.

6 How to implement Sustain in your plant?

The fifth and final step of 5S is Sustain, which means to maintain and improve your 5S performance over time. To ensure that your efforts don't backslide, you must reinforce positive behaviors and foster a culture of continuous improvement. To do this, establish and communicate the goals and expectations for 5S performance, recognize and reward staff for their achievements, involve them in problem-solving and improvement initiatives, conduct regular reviews and feedback sessions, and seek out new ideas to enhance 5S performance.

If there was a more crucial step in the 5S process I would say "Sustain" is the key. If you do not follow through with initiatives and drive out "Waste" then the other 4 stages are redundant. I recommend creating a truly visual footprint on your workplace. Find an area where lots of employees travel through or walk past and use this space to display Company Goals, a Lean Hub to explain & cement the Continuous Improvement Journey you are ALL on. Empower your colleagues to make real change and take ownership of 5S. Its a long term deal. Always WIP :)

5S is not just house keeping, it gives us results when we apply it on procedures and policies also. Most of the time 5s starts with good house keeping and stops at labelling. In my opinion 5s is to be applied on policies, procedures and SOPs that will take care of improvements in all aspects.
