How can you structure technical documentation for maximum efficiency?

I have never been a huge fan of technical articles or KB articles that assume too much about the reader. Even as an IT professional. I much more subscribe to the idea that all info should be written at the very basic level with guides or links to further info from each article. This allows those who like more to the point info to read on to specifics while others who need more theory to take alternate routes to learn more. If you ever read a KB and was left with more questions than when you started, you can relate to my point. If you write things as if your reader knows less but give options for those who know more you will have documents for a more rounded audience.

An example that I use here is to define the materials each persona needs by drawing parallels to a franchised car dealer. The glossy brochure is for Professional Services and Sales Engineers who need to know capacities, capabilities and other lesser technical facts to keep the motor going and deliver great outcomes like tyre pressure, fuel and oils. The technical support folks need the mechanic manual to fix and repair when the vehicle needs a break-fix solution independent of any talk about potential benefits.

To create an engaging and well-structured document, begin by gaining a clear understanding of the purpose, scope, and audience. This will guide you in determining the appropriate content, tone, and style. Clarity and organization are crucial. Break down complex concepts into digestible sections, utilize headings and subheadings to guide readers, and provide clear and concise explanations. Enhance understanding with the use of examples, visuals, or diagrams when appropriate. Lastly, ensure your document meets its defined purpose and effectively communicates the intended message by thoroughly reviewing and revising it. Consider seeking feedback from colleagues or subject matter experts to ensure accuracy, clarity in your writing.

Having structure to articles gives your readers the familiarity of where to look for what they need. Especially if they return often to reference this info. If each document is unique this makes it difficult to search for key points and steps. Clearly defining each step or section in the same place in each document is fundamental to the success of your system and how often its used. I have worked in several organizations where the common description of the knowledge base is "Yeah we have one but no one ever uses it".

One aspect that may also be useful is to have some way of tracking version and age of the document and references (links) as I find in my company that CI/CD product, services and functionality change rapidly. Having a date or version indications helps with transparency, relevance and review cadence too.

A well-structured document not only enhances readability and comprehension but also minimizes repetition, confusion, and informational gaps. It enables readers to effortlessly find relevant sections, follow the logical flow of information, and grasp the document's main points. Remember to review and revise your document for clarity, coherence, accuracy, and engaging content that captivates your audience.

When it comes to style guides, you have a tons of options. I like the Microsoft Writing Style Guide and the Google Developer Documentation Style Guides as a starting point. These guides provide comprehensive frameworks developed by industry professionals, offering a solid foundation of best practices. Another option is to create your own style guide tailored to your organization's or project's specific standards and requirements. Consistency is crucial in technical writing. By adhering to established rules and conventions, you ensure your content is coherent and accessible to readers. Consistent terminology, formatting, and tone make your document easier to navigate and understand, enhancing the overall user experience.

Using plain language works for most higher level technical documents however this caters for most but not all readers. As a support engineer or developer working on the backend of the product or service, it is the correct use of the technical terms and clear definition of those acronyms that is often missing which can cause more harm than good by their omission.

Tools like Grammarly can assist in checking your document for grammar, spelling, and style issues. They provide suggestions for enhancement. Seek External Review: Obtaining a fresh perspective is beneficial. Ask someone else to review your document to identify areas that require clarification or improvement. External reviewers can evaluate the clarity, completeness, and usability of your documentation.

When updating your document, also go back and review the sections that don't need updating. When I've done this, I've found that something in the UI or another aspect of the application had changed and I wasn't notified.
