Some of the challenges with ATS software from my perspective is file size limits. Meaning portfolios etc… can’t be directly attached to an application - Relying on links sources to view Portfolios/showreels. Some ATS systems can struggle to read a CV not in word or PDF format, meaning you get a text version that can look very rough, or miss information from a CV because of this. Because of the technical/creative/skilled roles we recruit for it means a skilled hiring manager needs to look at a complete application- CV, Cover Letter, portfolio, showreel etc…. So an accurate assessment of an application can be made. Meaning most simplistic ATS filtering tools aren’t relevant and can mean missing some highly skilled professionals.

At the end of the day an ATS is no different from any other data system. Garbage in will always equal garbage out. It is important to have someone who understands how the system works so your setting it up to get the results you want from it. Even the greatest tool is next to useless in the hands of someone that doesn't know how to use it.

One of the main challenges when using an ATS is that some companies are not investing in updating their software, including things like the application process for external and internal candidates, therefore it is complicated to maximize the efficiency of it. Not all the recruiters and hiring managers have the proper training to use it. The ATS can be a great sourcing tool when each applicant is reviewed and the recruiters add notes, tags and move each candidate to a folder or future stage for that specific talent, unfortunately this is not an automatic task and since it requires additional time to process it not all the TA teams do it. If a position is confidential it won't be posted in the ATS and all the tracking will be manually.
