How can you prioritize your client's vision while staying within budget?

Is anyone actually reading this or are we all just contributing because we get a fun little badge? There's literally an answer already provided. Nice and broad, anything more specific probably requires you to do some thinking for yourself.

A good open dialogue with clear expectations is always imperative when working with clients on an event. Creativity is one of my favorite aspects of event planning. As an event planner you can provide value by finding creative solutions to elevate the event within the client’s budget.

To prioritise your client's vision within budget, establish clear communication to understand their key priorities. Identify non-negotiable elements and explore cost-effective alternatives for other aspects. Regularly update the client on budget status and collaborate to make informed decisions that align with their vision while staying within financial constraints.

I believe when you take the time to listen to get an understand of your clients vision you’re able to build trust that you hear them and then are able to highlight what they really desire for the event and are able to create a true to desire experience for all present.

I get this type of question a lot from clients. I always suggest starting with a vision of what you have access to already and what your vision for the event is with all associated costs of money & staff. Then compare that to budget and THEN see where things can get creative. Each event is unique and consulting with entertainers just makes sense. The group putting on the event might only have one event they plan for in a year. As an entertainer, I can have 300 - that's a lot of accumulated knowledge. It's why I started to offer consulting as a service.

To set a realistic budget you need to think realistically? Get more than one quote for everything and be transparent in your reasoning. Show your working, your client may have their own cheaper alternatives or have priorities they are willing to spend more on. Sorry, that was almost porductive.

Setting a realistic budget starts with listening to what the clients vision of what they want, all their ideas and letting them know estimated costs of what they are looking for, after they realize their budget doesn’t match the vision go through with the client about absolute must haves and look for alternatives that will work to bring to life what they originally envisioned. Negotiate with vendors and try to get your client the best price.

I aim to provide options well below the budget, and slightly above the budget, so the client can have a sense of what the options truly are. I also think it's silly when booking speakers to say, "we are booking one speaker at $25k, one at $50k, and a third at $75k." You have $150k for three speakers, and that's all that matters. If you can find a great $10k speaker, you have $140k to split across your other needs!

Setting intial expectations for the client and planner is essential. A client's wish list and budget have always been a sore spot. All good planner know that every client has a vision of how they want their special day to look. Sometimes the budget doesn't match those dreams and are often on far ends of the spectrum. It is our responsibility as planners to recognize those shortcomings. In short; clients have their wish list and budget and somewhere in the middle there we have this unfortunate thing we called reality and that's where we as event planners plant ourselves and work with the client to get as close as we can to the midpoint.

Set the budget expectations from the beginning and having done research on costs (including room for incidentals), have options for the client and review them together. I'd also add, consider a risk management plan for unforeseen circumstances and review them with your client (insurance, weather related challenges, vendor cancellation policies).

One thing I’ve found helpful is leveraging “in-kind” sponsorships ( media, influencers,etc) to promote an event in exchange for brand recognition. This is a no cost solution that can build relationships with media and potential future clients or sponsors while increasing event exposure.

Here's my 3rd contribution. Hitting that eligibility for that badge, give it to me. In order to explore creative alternatives, get creative. Mind blowing. There is no framework to creativity. That's like the whole point of creativity. A breadth of experience or at the very least a diverse range of inspiration you can draw from is useful. I ran festival activations, so I made sure to look at things that weren't in the festival context, or even activations. If you don't want to be like every other event/ activation/ experience then don't copy your direct competitors, copy someone different. Please, give me the badge.

To me, it's all about value, not cost. If you can deliver on the request under budget, it allows for opportunity to spend in other areas. The best, is not always the most expensive!

I think this goes without saying: in any kind of planning, especially for events, you need to be innovative and creative. There are so many resources to leverage that help with creativity. Use ChatGPT, Pinterest, and search TikTok for new ideas to help enhance your services and find new alternatives for your clients needs.

Yeah, communication is good. Do you need me to tell you this? How have your relationships been in the past? If your job is to help them reach their goals, you need to talk about how you'll help them do that. Or don't, try being stubborn and unmoving without a single justification as to your methodology, I bet they'll love that. That was sarcasm. And that was communication. Are you getting it? What if there are no testimonials? What if there are no case studies? Just talk to them, maybe even listen too. Hopefully you're in your job because you're good at it, or convinced someone else you are, so be good enough for them to trust you by explaining what you can, where you can. Mmmmm, 4/3 contributions. Showing your client what is possible, what is useful, and what is necessary, are all essential elements to an effective relationship. I do not besmirch anyone for trying to get the best possible price, but the reality is that if you are educated and prepared, price is only one factor to consider! It's my job to help educate and prepare...

Naturally, education is important. Use your digital marketing and social media channels to educate your prospects before they become clients via your content.

A true relationship is a two way street and not merely listening to instructions and executing them. You must engage, learn, and adapt along the way to be of use long term. Plans change, budgets change, and ideas evolve. Be ready for it all.

What client is giving you complete undiluted control without any involvement in the decision making process? Please, send them my contact info I've got a triangular shaped business idea. I guess you should be prepared to stand up for every decision you make, or be ready to compromise based on their feedback. Has anyone written a contribution that doesn't just rehash the answer LinkedIn already provided. I once told an event I was going to bring loudspeakers. They said they could not have loudspeakers, so I didn't bring them. If I brought the loudspeakers despite them saying they couldn't have them, that would be an example of not collaborating. I offered to bring quiet speakers, they liked that. That was an example of compromise. :).

Yes, it's their event after all—not yours. Be someone who works well with others, be clear and set the necessary boundaries so you aren't taken advantage of as a business or individual and then surprise and delight them with excellent customer service, collaboration and execution of their vision.

The clients’ vision is the priority which creates the initial connection between planner and client. Using their vision allows to draw a budget, create realistic goals, meshing and interaction with client while building their vision. Planners should highlight expenses upfront to earn their clients trust.

My client's vision and staying within the budget is irrelevant in the line of services I provide. The question if modified to include the budget thus refering to different services could be answered simply. Be C.R.A.Z.Y. creative, realistic, adventurous, zestful and youthful.
