You can call it the definition of done, acceptance criteria, or measure of success but whatever the case, you need a clear understanding among the team as to when the project is done. Utilizing network-based planning can also simplify where things are with the project. Capture how a specific stream of work ties to the bigger picture. Maybe there is a startup sequence this is attached to, so understand the acceptable thresholds of performance can assist the team with knowing where they are in the startup process. When customers are involved, capture early what they intend to be able to accomplish and at what point in the stream of work should this be able to be tested.

Quality and performance standards vary depending on the context, industry, and specific tasks. Below are some standard criteria that can applied: Quality Standards: 1. Accuracy 2. Reliability 3. The context within which a project is being delivered is also an important consideration as the assumption here is that these two variables are the only two variables being looked at. If these are the two variables that I am looking at, I generally measure the gap against the standard and determine the critical path to close the gaps to sequence tasks as effectively as possible.

What helps the most in my opinion is requirements elicitation. Get engaged with the stakeholders according to their preferred methods and get a clear understanding of the bigger picture which makes it easy to set a baseline. One can include detailed quality audits at frequent intervals eg,. after every 2-3 sprints. Once everything is in place, make sure that the plan in place is followed thoroughly.

As a project manager, I always set different times by dividing the total deadline days of the tasks among the company departments or units involved in these tasks. Since I do not set the same time for each department, it is easier to shift according to the priorities of the tasks.

So the iron triangle of PM is eternal and true. Time - quality - resources. How to prioritize your quality and tasks boils down to fully understanding what are the main asks from your stakeholders. The saying beauty is in the eye of the beholder holds paramount with the expectations of your stake holders and understanding what they want, value and don’t value is your North Star of decision making. For example ultra wealthy clients may prefer quality of detail, ease of use and always value time. So resources may not be an issue so long as you are honest and clear with the how’s and the why. Be aware of these wins and pain points and it will help you navigate the tough calls on what is defined as quality and what is viewed as performance.
