How can you prioritize competing deadlines for nonprofit projects?

I think for me,the most important thing is if the team, leader or organization have the capacity to deliver or execute the project. No matter the project,and the process involved. So,I always ask myself questions. What will it cost Once,we have evaluated and known the cost elements. That is when we execute.

First of all in general principle if the plan is prepared meticulously, in-time release of fund made and proper follow-up has been made, then urgency for meeting the deadline for completion of a task shouldn't have come in to the being. However in many cases this happens when the earlier 3 is not met.

My favorite tool is OKRs. Competing priorities will always be an issue but OKRs give you the ability to make trade offs. Non profits often run into the issue of having more to do than hours or people. Burn out is a real thing so empower your teams to speak up.

Using a tool helps. when things are in pen and paper it helps in identifying the right response. However there is a risk of subjective biasness of the individual who is doing it and thus it needs to be well discussed with the team involved to have better objectivity.

When juggling multiple projects, I find it is essential to gather insights and input from team members as their perspectives are invaluable in understanding each project's urgency and importance. To ensure alignment, prioritize open communication channels. Regular check-ins, progress updates, and team meetings foster a collaborative environment. Actively involving the team in the prioritization process allows you to collectively assess project significance and make informed decisions together. Overall, emphasizing communication, collaboration, and inclusivity helps you meet deadlines and make a meaningful community impact.

What I have experienced, when you discuss and ask for feedback and plan, Most of the time it is from one of the team member , from whom comes the apt ideas . looking for members for apt skill and ideas for the tasks & promoting situational leaders is vital.

I’ve learned that I am not an island. Everything can’t be the number one priority, so I’ve learned to ask other stakeholders - a boss, a board chair - to help set the priorities. “I know all of these tasks are important, and I’d appreciate your advice on which to prioritize.” Which tasks have deadlines? Which tasks can I call and ask for more time, etc! It is okay to ask for help!

Throughout successful projects that I have been a part of, there has always been consistent and clear communication. There have been projects that I have worked on where I truly did not understand my task due to poor communication. Of course, in those cases, I asked the leaders of the project for clarification. However, initial proper communication would have prevented inefficiencies that resulted from the lack of clear information and direction.

It is imperative to collaborate and communicate with stakeholders and team members to meet the objectives of the organization. It is always a team effort on the part of all associated with the organization or in some some form or fashion shares the same interests of the organization.

From a fundraising perspective, you often have to pick and choose which deadline to meet in this situation, and I have found prioritizing the most likely to be funded is your best bet. Of course, this isn’t completely straightforward - it involves taking into account factors like prior funding, board involvement, strength of internal relationships, looking at the long game and seeing the potential for growth in the partnership. If you look at these factors, it should help shed light on the right direction.

As a non-profit leader you have an internal drive to do everything possible to serve your target community. Something I learned the hard way is that sometimes you have to say no, or at least not right now to a proposed project so as to not spread your staff and resources to thin. Knowing when to say no helps to keep everyone’s drive lit and ensures that projects already underway receive the focus they need and deserve to be completed to the highest standard.
