How can you optimize system interfaces for different user roles?

Roles defined by the system should echo the roles in organisation. Before defining roles, talk to business people, understand their day in day out jobs. Then categorise and group them together. This exercise really helps of have proper role definition which works with business need With this you get to what one role can do and what another cannot do. Then you start mapping - 1. Access 2. Data sensitivity 3. Actions/ operations can be performed.

List all potential types of users: Consider those who interact with the system directly or indirectly. Categorize them based on roles: Group users with similar tasks, goals, and access needs. Common examples of user roles: Customers / Clients Employees (various levels and departments) Managers / Supervisors Administrators External partners Auditors / Compliance officers Technical support staff 2. The first thing I always do is understand my customers. It could be human or system. Human looks n feel and ease of use is very important. First I close on the brand guideline i.e colors, fonts, semantic colours, icons etc. By brand guideline, it can be guaranteed look n feel is going to be consistent. System faster and reliable communication is very important. I always start by defining the source and target system for each way an interface will operate. Depending on the systems (humans, devices, applications, etc) the source and target will often have differing capabilities for sending and receiving. Using the capabilities as a guide and knowing the requirements for the interface you can adopt the pattern that is most preferable. Sometimes both systems have full support for the ideal protocols you wish to employ. Often times they don’t. Many times an additional element (middleware) is needed. Always define the protocols, security, validation, logic, error handling, and tests. Ensure that you evaluate the required, frequency, payload size, timing, and support for parallel processing.

Some time integration and comprehensive data is enough to push the service to the user without doing any request. But the system need to be smart enough or being supported with regulation to introduce the mentioned action.
