How can you manage multiple projects in architecture?

Do not attempt to keep information on multiple projects in your head, it is a sure way to miss important details. Create a master list of all your projects, and a sub list of tasks that need to be completed for each one, always attaching a person and a date for implementation. This removes the assumption of "I thought X was handling that" and makes targets clear.

In my experience, it should start by setting goals and know the feasibility of each projects risks and length. Projects are unique henceforth potential risk and strategy alignment should be studied to determine the priority of commencing any project.

One of the key steps to prioritise your multiple projects is to have a clear overview of them. You can create a tracker of your projects where you capture essential details such as progress status, use cases, current and future steps, pending actions, ETA, milestones, etc. This will help you see the big picture and prioritise your projects according to the information you have. Make sure you update this tracker daily before you end your day.

Not all projects are created equal. Prioritize projects based on factors such as client deadlines, project impact, and resource availability. This will help you focus your time and energy on the projects that matter most.

Planning and Scheduling the projects in very much important. These could be done with the help of softwares like Primavera and BIM. Excel sheets might not help for huge scale.

For me, the experience and current strength of the team you are leading matters in being able to manage multiple projects. Delegating will be very important depending on the level of difficulties to be experienced on the various projects. You must be able to plan well, prioritize accordingly, and delegate where appropriate.

Organizing your files at the very beginning helps you to save tons of time later on. Proper naming, dates, project numbering will help you to orientate yourself easily throughout your archive. Use one concept for all projects: try to squeeze essentials and find repetition in the folders. For example set couple folders for photos, existing drawings, correspondence, referrals and archive. Name can start with project number or date. All this organizational skills will be the best foundation for good start

Use a platform that can bring a collaborative approach and enable you to share and or invite others to your project documents.

No matter what the organizational system is, the most important factor is that it’s consistent. For example, If you think of a better way to name folders or files halfway through a project, it’s still better to stick to the script until the next file overhaul or archiving. Having a system, and using it, is more important than *what* the actual system is. Also be sure to avoid common syntax mistakes that could cause errors : starting a file name with a space or period, using too many characters, or including special characters like these : , “ / # @ .

As a DM on few projects I manage up to 15-20 disciplines per project using ACC where I review, comment and coordinate. Its also helpful tool to follow the progess on the project and manage deadlines. Using cloud based models for collaboration and even for clients review is most efficient way of project development so far.

Utilizing software that allows for itemized scope tracking helps keep all disciplines on target. Assigning tasks and having record of completion ensures all checklists get completed. A shareable checklist also allows for addition of scope (within original budget) as the project progresses.

A successful project is the product of multiple minds working together. Therefore sharing informations clearly and effectively will prevent potential problems and will connect all dots.

Communication is key! The right communication is very impactful in project coordination. The complexity and interdependencies inherent in architectural projects demand a high level of coordination among team members. Slack or Microsoft Teams, can significantly enhance this process, allowing for seamless and organized exchanges of information. Integrating a reporting tool or a dashboard is crucial for conveying project metrics, milestones, and challenges to stakeholders.

It is best to schedule multiple recurring meetings a week to ensure the progress is monitored, but also to be agile so you can adjust the scope of everyone involved from day to day. In my findings it is better to have a few (very) short meetings a week (for example 15min) than an 1h meeting once a week.

Managing multiple projects does not mean that you have to do everything by yourself. You should delegate and collaborate with your team members and other professionals to leverage their skills, expertise, and experience.

Its easy. Delegate a sensible/reliable person to collaborate. The work gets done by its own then. Further, it will need only occasional monitoring.

By diversifying differing billable rates based on appropriate staff and skill levels ensure the right people are working on the right portions of the project. Younger professionals gain experience and knowledge from working with more seasoned professionals as well.

A RACI is helping you in ensuring that every participants work is visible and to make sure it's visible if someone is overloaded. For instance doing task switching or navigates to much between perspectives that are time consuming to keep sync with (typically detail/operational tasks vs coordinating and planning).

We work for better tomorrow. Compromising health and mental well being might bring you success. But success is no use if you cannot celebrate it with peaceful mind and healthy body.

Each design project on your plate is unique in its own way: a different project owner, different goals, and a different end product. However, what each project has in common is that they have a variety of tasks, each of different priority level. In effect, you and your team must be able to take a step back and determine where you need to focus your time now to find the most efficient way to approach all of the items in all of your projects.

If you have too many projects. Delegate the whole project to another PM. Get things done and finished. Search for the opportunities to be faster with whole packages, not with 1000 separate details. Negotiate with customer - delegate and compensate.

Delegation... Don't be monotonous in sharing duties. Don't charge less to avoid begging workers to work or paying more attention to a single project. Train and trust your workers for the task. Without those projects, no one (family, friends etc) and pleasure knows you, hence, they are your first priority.
