How can you manage conflict and communication in property management?

Some ways to manage the conflict are clarifying what is the source of conflict, active listening - letting everyone have their say, investigating the situation, and determining ways to meet common goals.

When we communicate, we have expectations. When there are unfulfilled expectations from one or both parties, then conflict occurs. This can be a trigger for upset. In Property Management, it is important to set realistic expectations and be clear in our communications. If someone is upset, look to see what was the unfulfilled expectation. This helps to find a quick resolution and minimize the upset. The key is to identify the trigger in ourselves and in others.

When dealing with conflicts, the best advice I took to heart, and found to de-escalate a situation is to first remember ,this isn't personal. You are the face of the company and your customers concerns need to be heard. Be sure to listen, repeat back what you have heard so they know you have understood their concerns, validate they're right to feel upset, and offer them resolution options of what you can do for them, rather than what you cannot. Positive communication generally brings about positive results.

Based on my experience, we can forecast the conflicts earlier if we fully understand the property that we r managing. Know the strength the weaknesses by using the SWOT analysis. By forecasting this, we can manage the conflict in advance.

We manage multi housing and to deflect conflict we maintain constant reminders of rules and acceptable behavoir in a friendly way. Seems reminders help. We also are present on out properties and make an effort that all tennts know who we are and are here to make there experience enjoyable. Something i feel is missing here - the most important part of effective communication is setting expectations. I find a lot of conflict comes from expectations not being met and many time better communication at the start avoids lots of conflict later.

The key factor is maintaining win-win attitude during handling any conflict. Verbal & formal illustration of the problem and solution , action plan and commitment

Too much information is better that none. Never break the cycle in and a email as everyone has the right to a answer! information is the key

Establish open lines of communication: Create a welcoming and approachable environment where tenants and team members feel comfortable expressing their concerns and opinions. Encourage them to communicate openly and provide multiple channels for communication, such as email, phone, or in-person meetings.

To be an effective listener and make no judgment till you have received all the information at hand , review the information and make a discussion with all your colleagues who have been informed about the issue.

Regularly seek feedback and suggestions from tenants and team members. This can be done through surveys suggestion boxes, or one-on-one conversations. Valuing their input helps to prevent conflicts and improve communication. Build relationships with tenants and team members by being respectful, responsive, and professional. Show empathy and understanding, and encourage a sense of community within the property.

As someone experienced in property management, I can’t stress enough how crucial it is to document and follow up on conflict and communication. It’s not just about keeping records; it’s about ensuring transparency and holding everyone accountable. These records become invaluable in preventing future misunderstandings and providing evidence if needed. Follow-up is where the real magic happens. Reaching out to the other party after taking action shows that we genuinely care about finding a resolution. It helps ensures that any unfinished tasks are completed to their satisfaction. This proactive approach fosters better relationships and sets the foundation for a positive and productive environment.

From my point of view as a Service Provider to Property Managers this is absolutely vital to document works. We provide our clients with a detailed monthly report of services completed that month that give evidence that we are providing the service according to the agreed specification, with clear before and after photographs. This helps Property Managers in many ways.

Set goals from the start. Provide tracking records to be filled in when information is sent out and has to come back on If it’s in black and white it’s simple

Maintain records of all communication related to conflicts or significant conversations with tenants or team members. Documentation can be useful for reference or evidence if conflicts escalate.

The practice of setting up, communicating, and following your policies fairly across the board has been THE biggest game changer in my property management career. Eliminating confusion, managing expectations, and not making policy exceptions for one resident that you might not be willing or able to make for another might seem harsh, but I’ve found that a very kind, but firm approach to adherence of policies ultimately makes for and keeps better resident/management relationships.

Be prepared to understand your mistakes and how best to improve on them. You have no invincibility . That’s what makes a good manager

Empathy goes a long way in Property Management. I have found that many conflicts arise during stressful time for tenants and landlords. This doesn't mean its ok for them to take it out on you, however understanding pressure points goes a long way to resolving an issue or giving you the time required to resolve an issue.

Train property management staff on conflict techniques, effective communication skills, and customer service. Support them with resources and guidance to handle conflicts and communicate effectively with tenants.

In my opinion handling conflicts is a talent that can be learned by practicing. Being a customer service rep. or if you have the CS background will be a plus for sure in our case here. Still some points to be consider for a clear successful communication and conflict management ie: Prompt response, Transparency, using respectful tone, regular feedback ….. etc. & much more!

Set clear expectations and guidelines: Clearly communicate property management policies and expectations to tenants. Clearly defined rules regarding noise levels, maintenance requests, payment procedures, and other relevant matters can prevent conflicts from arising.
