How can you maintain confidentiality when following up on quality audit findings?

Confidentiality comes first with audit findings and audit data. As auditor we need to protect it from unauthorised access by putting it in your own computer which is password base or storing it in your own SharePoint. You should also need a written procedure that deals with Documented Information / Audit records / Quality records. The procedure states how to store, the retention and disposal of documents.

Engineers have an ethical obligation to safeguard the secrecy of sensitive information. When following up on quality audit results, we must ensure that audit data is correctly stored, retained, and disposed of in accordance with organisational rules and regulatory requirements. If disagreements emerge over audit results or processes, we should seek advice from management, legal counsel, or governing authorities while avoiding needless disclosure of confidential information. We maintain professional standards of conduct by remaining judicious and discreet.

After Audit, Findings should properly communicated to the stakeholder and top management in a clear and concise manner. Auditor shall prepare Audit Report that includes Non-conformity, Observation and Opportunities for improvement. Audit Findings in the report provide insights into the current state of the process, controls and systems that needs improvement and time to resolve.

As an Auditor be transparent and fair in the Auditee. Accept feedback, criticism, recommendations and complain during your audit because it will help you to improve. Attend in the conflict with respectful manner and resolve the audit complains using constructive data.
