How can you improve your communication skills when working on a project?

Knowing your audience is very important to deliver quality results. If you know who your audience is, what do they want? You will be easily able to deliver quality results.

1. Be direct. 2. Be firm. 3. Be kind. 4. Be on time. 5. Be reliable. Don't: 1. People-please. 2. Fail to state boundaries. 3. Fail to enforce boundaries. 4. Try to be friends with everyone. If you do the first five, respect will follow.

What's in it for me is the most common question most people have in their minds when it comes to any interaction. Learning what they want to achieve from the project will help you to understand their needs and wants. Align that with the overall goal and what you want and implement the plan to make sure everyone gets what they want. In any case, if there's any problem, communicate with the leader of the project and the people who will be impacted the most so that everyone is aware. With that awareness, we can either adjust the expectation or work on a solution to go for the most ideal outcome where everyone can achieve their goals within the project.

Before knowing your audience, it's important to know yourself. What type of communication style and energy do you bring to the communication.

When you are 100% present with someone and are interested, you can't help but listen. Anytime I let go of my agenda and am there to be of service, I will be safe and help the other person to open up and share. Without that, I can't truly offer my value to help them to solve their problem.

Active listening could solve many of the world's problems. When you listen actively you cannot help but be empathetic and seek better understanding. It is easy to listen long enough to formulate a response and then interrupt to make your point, but saying less and listening more can facilitate collaboration and cooperation.

Pay close attention to the project requirements and goals. Understand the big picture and the specific needs of each team member.

Power communication comes from clarity. When I am clear with the purpose of my message, everything will flow easier. I have many experiences where I assume people understand my message even when simple words are used. A good way to minimize any misinterpretation is to get the other person to summarise their understanding of what had been discussed and put it in writing subsequently, especially when it is important.

Remember, effective communication is a two-way process. It's important to not only focus on improving your own communication skills but also to encourage open and transparent communication within the project team. Always go back to the why. Why are we doing the project, what are we trying to achieve. This ensure alignement between different stakeholder and keeps you on check on what to communicate and how. Starting every meeting / big comms with a reminder of why the project, the what and the how, can make a tremendous change.

To truly improve your communication, learning concepts such as "the triangle of drama" and gottmans "the four horsemen" can help significantly improve your ability to communicate with minimal conflict and greater empathy, understanding and compassion for where others are coming from. Learning to improve communication through these sorts of theories requires introspection and the willingness to work on yourself before expecting improvements in your engagements and connections with others.
