How can you help a salesperson struggling with time management?

Doing a daily “to do” list, writing everything down during the day, crossing off when completed, before going home every night, then, every morning before you start your day, go over the list, prioritize items left, and blend with future daily activities… NOT a computer or a cell or tablet, written on a piece of paper on your desk in your face is proven to work, and, their will not be any “out of sight out of mind” occasions!!! The old school way blended with today’s tech WILL help you succeed! As long as it’s done religiously…….

One will need to determine the root cause of the issue - why is time management an issue? Is the day or the time at hand managed via action / reaction? Is the available time steered by circumstances? To be effective in time management, one would need to plan - your plan needs to be firm and against a reasonable timeline. As you improve your planning skills, you will also become better at multitasking. Be serious about your own schedule but also plan for the unforeseen - this could be very difficult as you are not able to predict days in advance, but in such cases, one need to have the ability to prioritize each task in conjunction with the influence it might have on the rest of your schedule.

I always look for patterns that are causing this to happen. Most sales people are disorganized because they were never trained to be organized. Most of these sales people aren’t writing things down and keeping track of their day. A trick I use is I buy my disorganized guys a nice journal to encourage writing things down.

Start with a daily list of things to accomplish...during the day/evening BEFORE; if you start the new day with a list of things to do, you will be productive. Off that list, rank them in order of importnace; what is a MUST, what can be done after the MUSTs? Stay away from distractions such as checking phone, Internet, Social Media, etc. Answer phone only if it's an important client call and/or family emergency Stay motivated; one of the things on the list is to figure our how to contact 10 new people per day Continue product training so you remain an EXPERT Knowledge & Activity breeds enthusiasm, enthusiasm brings sales

In some case, we need to do data triangulation to make sure that our assessment is correct. At least, understanding that observing only may lead to misleading result if we don't do any validation. Gathering data about their current situation through 3 ways: 1. Observation 2. Interview 3. Documents analysis It takes time and patient but the result will be the closest to the reality.

Once you have a clear understanding of their challenges, the next step is to help them set SMART (Specific, Measurable, Achievable, Relevant, Time-bound) goals. These goals should be designed to address specific areas of improvement in their time management. For example, a goal might be to reduce the time spent on administrative tasks by automating or delegating them, thereby freeing up more time for client-facing activities. SMART goals provide a clear roadmap for what success looks like and how to get there.

Setting small goals and learning to compartmentalize your day in to small, manageable blocks is a key that I found incredibly useful on the sales floor.

The main thing is to plan and prioritize your monthly deliverables at the starting of the month ...follow it up with weekly plans at the beginning of the week and then planning the day at the start of the day. Macro to Micro level planning needs to be followed up by monitoring of the progress and then take corrective action. The trick here is to correct your daily progress vs plan so that the delta is optimal at the end of the week and similarly the weekly delta also needs to be minimised and transferred to the next week. One thing I have found helpful is to always section my day. 1. Service is buzzing in the morning meet, greet and offer food and beverage to those waiting- chat and get to know them. 2. Things slow down before lunch, sit down and start all my email follow-up 3. Lunch time rolls around - perform all my text and call follow-up now that are more available. I continue with this schedule of items and actions throughout the entire day making my whole day actively pursuing business. If I have an appointment or a walk in that comes in, I shift time slots to the next available that makes sense. The point is to never be idle when you can be casting your net.

Encourage the team to plan their day or week in advance, making sure to prioritize tasks based on urgency and importance. Teach them how to differentiate between tasks that are critical and those that can wait or be delegated. This might involve creating a daily or weekly schedule that allocates specific blocks of time to different activities, ensuring that high-priority tasks are tackled when they are most productive.

Person should be plan very well before a day ends. Tomorrow what work should be done that planing should go on your mind. You should keep your mind cool and work and understand the situation of the customer.

Weekly coaching sessions to track progress are the easiest way to monitor progress. Take 15-20 mins once a week and review last weeks results, and keep tweaking until you find the right balance.

With a plan in place, the next step is implementation. Encourage them to stick to their schedule as closely as possible, but also to be flexible when unexpected tasks arise. Regular check-ins can help monitor their progress, identify any areas where they're still struggling, and adjust strategies accordingly. For example, if they find it hard to stick to their planned schedule, explore why that is and what changes could make it more achievable.

Quality execution of the newly learned skills on time management is important to monitor. It's easier to understand the way things are done, but actually following through consistently could be a challenge. Getting ahead of that and looking out for struggles while executing will save time when you fix small things along the way instead of taking days to fix many problems.

A truly motivated, goal oriented salesperson is unstoppable. When you keep a positive work environment and occasionally reward the salespeople you'll keep the positive energy flowing. Giving someone a reward and brief acknowledgment will give them a boost to keep doing their quality of work. Such a small thing will spill over to other salespeople and before you know it, the customer will feel the positivity through the staff.

Finally, it's important to recognize and reward progress. Small incentives or acknowledgment for achieving their time management goals can be highly motivating. Whether it's hitting a sales target due to improved efficiency or simply managing to complete all scheduled tasks in a day, celebrating these wins can boost their morale and motivation. Encouraging a culture of positive reinforcement helps sustain improvements in time management over the long term.

Have the person create their own award system as well as come up with a reward for that person whether it be something small like a nice dinner or an extra day off or even bigger like an extra spiff, tiered up bonus, or some sort of gift or prize.

Rewards play a crucial role, yet I emphasize that true motivation stems from an internal source. Nevertheless, nurturing a positive organizational culture and providing a clear roadmap to success holds the utmost importance. When coupled with rewards and other motivational elements, they can collectively inspire and drive employees. It's crucial to recognize that without a clear vision and defined path, any motivation provided may lead employees back to the same point, offering only temporary relief.

Create new task habits!!!! You have to want to get 1 percent better in every aspect of your life each month!!! Taking your physical exercise to another level, financial literacy to another level!!! Increase your money production each month. Having more helpful thoughts with yourself. Put more good in the universe!!

Burn out is a huge contributor to issues with time management. Automotive sales is a tough gig. Long hours, very little time off, stressful situations related to customers, monthly sales numbers, etc. And there's no time to really sit down and decompress. Management is more interested in hitting goals and burn out leads to people leaving. Sales has huge turnaround so an employee that's stressed and missing goals is less important than just hiring a new guy to take his place that's "ready for the line."
