How can you fix remote printing issues?

If we are in a remote place from the printer, we always should ping the printer first. After that, if ping is successful, then we should try give restart the host system else, we should try re-installing the driver or re-adding the printer again.

You can access and change the printer settings from the printer's web interface, the Windows Printers and Scanners settings, or the printer properties dialog box. You should also make sure that the remote computer and the printer have the same regional and language settings.

Printing should never be an issue. In order to allow your users to print without issues users should always have an up to date system. This allows for the latest and stable drivers to automatically be selected for the correct environment. If users are in a corporate/education environment then they should speak to their system adminsitrator.

Verifying network connectivity from both the sides is a more needed thing. We should always check host system's network reachability towards the remote printer, before making deep troubleshooting

This part should be the first paragraph ! Does your printing network is between PC and printer or is there a print server ? You to check the connectivity between the different element of the printing network in both direction. If the printer is reachable on local subnet but not in other, you need to check the gateway configuration. If the issue affect scan to mail service, check the DNS also. Router and firewall must be checked if access-list are deployed for safety purpose. Some printer installations, especially on windows (printer installed with auto discovery in control panel), relies on hardware address of the printer, be sure that you used TCP/IP installation and that the IP/mask are correct.

Updating the printer driver can always be a solution, which helps in fixing the bugs if there is any software or driver-related issues. Also, windows updates can help in this regard too.

While remote printing itself was not so common in my practice, continuous driver issues took place for remote workers with personal printers. In our century of remote work more common in my opinion to print to your home printer located right near you but from inside virtualized applications (eg. MS RemoteApp). The problem here - you have a small SOHO device, and for sure the server where this virtualized app resides does not have drivers for such kind of device. Check on the PC/print server if the parameter are correctly set in the parameter (Paper size, color, side...). Verify that the option set are relevant with the option proposed on the printer's configuration interface.

If remote printing software are used, check the requirement of the service in term of software agent to install and TCP/UDP port to open or allow on the different network devices. Be sure that the software or web interface is reachable from outside the company network, with a VPN or a secure intranet portal.

In my experience, the best way to manage remote printing issues and to address them efficiently, is to setup a print server. Load all your printers onto this server, and allow your users access to printers shared on this print server. Much easy to maintain and fault find remote printing problems. Also easy to deploy printers to end users.

Ensure the printer in question is powered on and network cable is secure and plugged into a functional network drop. We are speaking of looking at the physical connections or what we call layer one troubleshooting. Sounds obvious, but this solved many printing issues outside of rebooting a printer. Make sure the IP address assigned to printer is on the proper subnet and that the host accessing is has permissions to do. Delete the printer and readd to active directory, and or restarting the print spooler service on the server or host. Run that test page and there you go.
