How can you establish clear client expectations?

Creating a killer value proposition starts with really getting the problem you're solving. It's like knowing the ins and outs of a puzzle. First, pinpoint who's actually facing this issue - that's your ideal customer profile (ICP). Understand that solving their problem isn't just about fixing something; it's about the value or relief it brings them. The trick is to start with a solid guess of what this big, gnarly problem might be and who's losing sleep over it. Then, hit the pavement and talk to these folks. Validate your guesses. The real gold is when they're willing to open their wallets because, let's be honest, that's the ultimate thumbs up.

There needs to be a clear breakdown of what it is you’re going to deliver and the parameters around that. Usually conflict arises because of a mismatch in expectations vs delivery, whereas if right from the beginning in your contracts it’s clearly outlined what you’re going to deliver, the quantity of time and/or deliverables and timeframes, then if you’re achieving that it can’t be argued. I usually see issues with companies where agreements are vague and based solely on time/hours, there’s no defined way of working and then it just becomes an uncertain partnership.

Define your value proposition before pitching to a client. Identify the problem you solve, articulate the benefits you provide, and highlight what sets you apart from competitors. A robust value proposition aids in effectively communicating your value, justifying pricing and timelines, and preventing overpromising or underdelivering on results.

To streamline communication, leverage project management tools like Asana or Trello maintain alignment throughout the project lifecycle.

This detailed document outlines objectives, deliverables, requirements, milestones, and responsibilities for both parties. More often than not, clients do not have a clear idea of what they want and what their pain points is. If they do, good, just execute on the contract. But as a responsible and high-quality service provider, you should try to increase your value proposition by doing problem discovery with your clients: - Pain-point discovery: Conduct in-depth interviews, data analysis, and on-ground investigation of the clients' alleged pain points. You are guaranteed to find more undiscovered problems. - Root-cause analysis. Sometimes, the problem the client brings you is just the symptom. You need critically analyze and propose scenarios to verify different hypotheses.

In my experience you have to have clear communication routes set up with the client - emails make things quite complex and so there’s value in platforms like Teams and Slack where you can be quicker and more proactive. Also if you can’t get back to a client super quickly, just acknowledge their message and say you’ll come back another time - this works so much better than just ignoring a message until another time. Having a consistent catch up that everyone is expecting helps as well to avoid loads of ad hoc requests, and now it is important to try and meet your clients face to face to build that rapport.

Maintain consistent and proactive communication with your client, fostering trust and satisfaction. Keep them informed about project progress, challenges, and achievements. Seek their input, feedback, and approval when necessary. Anticipate and address any issues or concerns promptly, and communicate changes or delays that may impact the project outcome. That way, you can always make sure you're on the same page and adjust things if their needs or goals change. Don't wait for the client to give feedback because 90% of clients won't say anything until the project is over, plan regular touchpoints dependent on the project life cycle to revaluate expectations. Probing questions at each touchpoint throughout the entire customer journey can help you evaluate needs, wants, objections, positive and constructive feedback. Allowing you tweak and fine-tune things as needed, so you're always delivering what they're after.
