To ensure your event production team learns and grows from every event, establish a feedback-driven culture. Encourage open communication where team members share their insights and experiences, both positive and negative. Conduct thorough post-event evaluations to identify areas for improvement. Implement structured debriefings to reflect on what went well and what didn't. Emphasise the importance of continuous education, offering training and development opportunities. Foster a mindset that views challenges as learning opportunities. Most of all don't be afraid of failure.

Selecting a teachable team is the first step to ensuring they learn. They must be curious, optimistic and willing to go the extra mile to execute tasks. This will build the mental state to learn and grow from. Also, setting clear goals will enable the team organize and execute their tasks properly and accordingly. Ensuring that the team has a clear and SMART brief to work with is the start of every successful event and measuring their performance. Lastly, asking for feedback from guests, clients, sponsors, organizers etc will help them grow and learn from their shortcomings.

After action reviews are a great method of learning the good lessons and improving performance. Such reviews can not be threatening and must encourage participation. Why an approach/technique worked is as important as why one didn’t.

After every event I ask as many stakeholders for feedback and as soon as possible. What worked? What didn't? What could be improved? Staff, delegates, production partners, venue staff, anyone. We're always striving to deliver the best, most interactive and memorable event experiences and we try to improve our events every time. When you get complacent, you get left behind. We come up with amazing ideas, but feedback from the audience is key to future progression.

Gathering feedback is a vital component of the data collection and measurement process. We should be able to measure the progress made when compared to previous events. If this is the first event, you will have some of the information necessary to grow in ways that benefit all parties involved. Feedback data can be collected via surveys, debriefing meetings, anonymous drop boxes, and more. Depending on how close-knit your team is, I would suggest asking questions directly...in-person. Documenting the event through video also offers another means to review the successes and failures of your event independently. This is supplemental to the previously mentioned feedback collection methods.

I like to gather feedback not only from attendees but from all parties involved. From customers and employees to vendors and sponsors. All this has been invaluable information that helps grow and improve the experience for everyone involved.

A great format for the debrief session is the after action review (AAR). It's guided by four simple questions: What was planned? What actually happened? Why did it happen? What can we learn (or do differently next time)? A process like this will usually beat out the more sophisticated and expensive approaches because it's simple, repeatable, and quick. Simplicity is important because simple things get done while complex things get abandoned or worked around. Repeatability is important because if you fiddle with the formula too much or too often, you have no way of recognizing patterns and trends over time. Speed is important because nobody on planet earth wants to spend more time on the debrief than on the work itself.

Implementing changes and improvemnts sometimes hard especially if didnt get the buy in of the team which tendencies you wont get to the goal or results that your looking for. This is a dynamic process that requires careful planning, clear communication, and adaptation. It begins with a thorough evaluation of present systems, followed by the establishment of precise targets and milestones. Effective team collaboration is critical to ensuring that everyone knows the objective and impacts of the changes. Regular feedback loops aid in the refinement of the implementation, fixing issues and incorporating useful insights. Flexibility is essential, allowing for changes depending on real-time feedback and changing requirements.

To ensure your team learns and grows from every event, every member of your team must be active participants, rather than passive observers. They must go beyond doing rote tasks and watch and listen. They should try to see the event from the perspective of various attendees, e.g., veterans or first-timers. Go behind the scenes and watch how the A/V team interacts--or not--with the speakers. Watch what food goes uneaten; what beverages are abandoned. Watch the traffic flow through the meeting rooms. The list goes on.

It may seem obvious but don't micro manage, and create a culture where people are comfortable to say I'm not sure. Allowing teams members to try and think through problems rather then just giving them the answers, but being available to support and guide and being calm if a mistake is made will put your team in the best possible position for every member to grow. The added advantage is that people who are not capable of thinking through a problem will realise that their strengths will be better suited in other areas.
