How can you ensure that your team building projects are completed on time and within budget?

To ensure on-time, budget-friendly team building projects, I start by setting clear goals with team input. Open communication helps us adapt to challenges, and regular progress checks keep us on track. This approach, combined with a shared sense of purpose, helps us complete projects efficiently.

Keep the team motivated and be with them shoulder to shoulder. Teams which are happy do not disappoint. As a leader, be empathetic and understand the challenges of the team and it's members. Remember, no task is difficult till it is made difficult.

Team building activities are a waste of time in the long run. I have been working with professionals for almost 40 years and not once has a team building exercise produced long term positive results. Professional prefer to work on solving problems together and not climbing trees, playing chess, riding bicycles through vineyards, etc. You want to really bring a team together? Isolate them and give them a very difficult problem to solve with a deadline. For example, "I need the five of you to put everything on hold for the next 10 days, confine yourselves to this space, and solve this very difficult problem that no one else seems to know how to solve. I know this team will develop at least two feasible and viable solutions."

Selecting suitable team-building activities is a crucial step once you have defined your goals. With various options like games, simulations, workshops, or challenges, it's essential to tailor these activities to the size, diversity, and preferences of your team. Considering factors such as relevance, duration, and difficulty ensures that the chosen activities align with your objectives. Equally important is ensuring that these activities resonate with your organizational culture, values, and overarching goals. This thoughtful approach ensures that team building becomes a meaningful and impactful endeavor for everyone involved.

When selecting the right activities make sure that you are thinking about relationally activities as opposed to transactional ones so you can first establish the team’s trust of each other. From that point, look for ways you can invite and present vulnerability and that build trust between your team. You can’t force these though, and I’d encourage you to think of low hanging fruit for people to put themselves out there until you see vulnerability beginning to be exchanged. If you don’t, pause, step back and examine your larger ecosystem for practices and ways of working and leading that are barriers to internal trust. Cheers to building!

Focus on identifying and prioritizing those key activities that will yield the most significant outcomes. Short-term Activities: Select tasks that quickly address current needs and yield immediate results. Prioritize actions that resolve the most pressing issues or capitalize on immediate opportunities, representing the critical 20% that leads to 80% of the short-term benefits.

In my experience Work Breakdown Structure (WBS) serves as a valuable tool for showcasing all project details. Consequently, the business team and the project management team can identify the components, tasks, and sub-tasks on which the project will depend. This enables the determination of the costs required for each task as well as the workforce needed to execute these tasks in terms of skills and quantities.

“… engaged, motivated, and satisfied with the project.” I have to disagree here. The only priority is the first one, to be engaged. With some exceptions, projects are about meeting business requirements. Project participants being motivated and satisfied are NOT one of those. It adds an extra layer of complexity that’s not necessary. As a matter of fact, engagement is the key behavioral metric to monitor the team’s mental health and potential for project completion. However, you certainly should respect the members involved. You should know each person’s strengths and understand their weaknesses, and work within those bounds in order to accomplish the project or refine it.

I would like to share some words on executing a project in regards to team success. In my experience the number one failure of most teams when trying to get a project done on time and on budget is the lack of team roles. You basically have everyone trying to do everything and it is a mess. As team leader, you should define specific roles for each team member and some basic guidelines to accomplish their area of the project. Then you ask them for their expertise in defining the specific tasks that need to be done. If you pick the right people in the right role, then they will have a better idea of what the right tasks are to get the job done than the team leader. Otherwise, the team leader can just do it all by them selves....

To me the most important resource are the people involved in the project. Do not overlook the importance of having an in depth understanding of the skill sets, mindsets and attributes of the individuals who will be collaborating towards a specific goal. This understanding will allow for a more efficient assignment of responsibilities and workload.

You can greatly enhance the review process by transitioning from a single loop to a double loop, allowing you to leverage insights gained from completed projects. This forms the foundation for organizational development. Overlooking these lessons by sticking to a single loop approach will ultimately result in a graveyard of projects. By capturing and preserving experiences as a well of accumulated knowledge, the organization can elevate its level of expertise, not just at the individual or team level, but across the broader organization.

First, conduct a retrospective once the project wraps and review metrics like schedule adherence, budget versus actual spend, and project scope delivery. Analyze areas that caused delays or cost overruns to identify process improvements for future projects. Survey team members on what worked well and pain points during project execution to highlight strengths and opportunities. Quantify the value delivered by the project, both tangible and intangible, to determine Regularly assessing results relative to the triple constraints will help continuously refine how you budget, staff, and manage initiatives for better on-time, on-budget delivery.

Your team building exercises or activities won't always provide the expected results, for better or for worse. What is most important is to observe what skills need to be more developed and which ones were just waiting to manifest within your team. The only failure here is to stop trying to build your team. There is no destination here, but simply hopes that each exercise will only provide more value to your team and foster more cooperation & collaboration.

Most managers or leaders must also assess each team member regardless of the results of the team building project. You must be ready to ask one or more team members to leave the team or the company because they do not fit the needs of the organization going forward. Some people will not change, and we must accept this fact as leaders.

Figure out who is doing what. Determining the goals of the project is different from actually planning and executing it. The former should come from leadership, because they’ll have a holistic view of what is needed in team building. The actual planning and executing might be led by the internal organizational development expert. It can also be a stretch opportunity and given to people who are more junior or open it up for volunteers. It’s important that leadership supports and back ups the planning team if they don’t have positional authority. If an org has resources, it’s helpful to hire a consultant to design, plan, facilitate and coach so that the employees all get to sit back and benefit, instead of some doing double duty.

When designing the project methodology, we do something similar to the CPA format, but it does not provide details on how we devise the total period needed to implement the project. I do not remember that we have implemented a project according to the proposed schedule, and this reflects the need to use planning tools such as CPA.
