In my views showing the vendor long term plans and the number of new as well as repeat business he will be getting in future is one of the way to get vendor align better with your requirements.

- Should Costing or Zero Base Costing is an Integral Part for any Commercial Proposal Study. - This should be taken from Vendors in a structured way by inculcating it in a formatted Request for Quotations which covers all Major Input fields like RM Cost, Mfg Cost, Overhead Cost, Etc. - Not all the Vendors will provide their inputs for all the asked fields but major cost components / drivers can be insisted from them. - ZBC or Should Costing provides Buyers a detailed cost insights along with boost in confidence building towards finalisation of commercial proposals.

The supplier already made its new offer and the negotiation is often more on the price itself, as acceptable, than on the breakdown itself. To counter such rise, there is only one method. Use cost breakdown during the "request for quotation" process itself.

The most important aspect in negotiation is making "apples to apples" comparison which saves your & vendor's time. To be fair with all the bidders, one should a use a common pricing template with proper baseline spend so that target pricing can be given to bidders. Other than the price, one should also give weightage to contract review score received from legal, IT and DP team. This would ensure the best outcome from negotiation

_Each project(s) should be budgeted and approved by the business owner's ahead of releasing any RFPs or RFQs. The Comparison (Matching) process should take place between the business requirements and the vendor's proposals. _ The SOW (scope of work) written in the body of the contract should also be matched.

In my opinion showing the vendor the bigger picture and his value add in that will help getting the vendor align better with your requirements. When vendor sees his value add in the bigger picture, he starts talking more responsibly as he sees his long term association with the company and not for the short gain. Then of course all other things like getting split costs, value Engg, negotiations all that becomes a routine SOP to be followed before signing the contract which the team can do. But the first part of alignment of the vendor with company requirements and goals is something which needs to addressed first at higher levels.
