A well thought out and detailed budget is an integral part of all grant proposals. Most drill down to the penny as to what are appropriate expenditures and exactly how grant funds can be allocated. The institution’s accountants and financial professionals need to be part of the grant writing team, from the beginning and on the frontline, to ensure the grant’s proposed and approved budget is aligned with the actual expenditures. Following the original grant line items will ensure the proper use of funds as well as provide the necessary data for an accurate final report upon the project’s completion.

If your grant is already approved, it means, in most cases, that it got approved with a detailed budget that covers all possible activities with corresponding allocated funds. So, whenever you are using grant money, see if the activity you are spending on is covered in your budget. Make sure you charge it under its specific budget line. Then also ensure that you are not exceeding the allocated budget amount. This simple step to first always see if a grant activity is covered under a line item of your budget will make sure that you do not spend on anything not budgeted and will also control the amount you spend.
