How can you ensure program vision is meaningful to stakeholders?

I start by deeply engaging with the primary stakeholder to understand their vision of the problem. Crafting a comprehensive proposal from a 50,000-foot perspective, I encapsulate both the issue and a proposed solution. This acts as a pivotal point for discussion and validation. Then, engaging other key stakeholders at a 30,000-foot level ensures alignment on the project's direction, scope, and outcomes. I maintain a steadfast commitment to these initial steps because I firmly believe that without a clear understanding of the problem and alignment on the proposed solution among stakeholders, any subsequent planning efforts are bound to falter. This process ensures a shared vision, preventing failure in planning, scope, and communication.

Identify and categorize your stakeholders based on their influence, interest, and needs related to the program. This is crucial for tailoring engagement strategies. Use direct feedback tools to understand your stakeholders' expectations, concerns, and how the program can bring value to them. Clearly define what each stakeholder group stands to gain or lose from the program, ensuring their interests are addressed in the vision. Recognize the obstacles and challenges your stakeholders face in their contexts to ensure the program vision is relevant and supportive. Keep an eye on how engaged different stakeholders are over time to identify when you might need to offer more information or support.

A program vision should be simple enough that it can be easily digested by anyone in the organization and tell a compelling enough story to speak to both hearts and minds. I like to think of the vision as your blueprint for change. Try to create a an easy to digest visual on one page that you can use repeatedly and consistently throughout the life of the program. Make that visual available in multiple places and communicate it in different forums. Remember that just because you live and breathe your program every day, not everyone in the organization has the same experience. So you cn never over-communicate your vision.

Program vision to be meaningful to stakeholders, it is essential to be communicated to right stakeholders, in the right manner, at the right time. These 3 things are very critical to ensure stakeholder buy in. In order to achieve this, identify & involve right set of stakeholders in formulation of program vision. As program managers, try to ask what strategic objective(s) is to be achieved & why & then accordingly align program vision with it. Communicate with relevant stakeholders, program vision & seek inputs from them about their understanding of it & whether it aligns with final strategic goals & outcomes. Incorporate feedback to make things clear, if needed. Regularly convey & revisit vision to ensure relevance. Engage stakeholders.

Once all the program stakeholders have been identified, it is critical to review, discuss and obtain their concurrence on the program vision as this will be the lighthouse that will be guiding all other program activities. Any issues at this level is likely a warning of upcoming lack of alignment between the program team and its stakeholders leading to potential failure.
