How can you ensure that everyone's voice is heard in meetings?

One thing I have found helpful to ensure full participation is a modification of brainstorming. When I ask a question or lead a discussion, I make sure that each person in the room is given opportunity to contribute. Simple but effective. The analogy is "going around the room, asking each person to contribute." This works to lessen inhibitions to speaking - and contributing, and lessens the potential for some to dominate the discussions.

- Sharing Agenda in Advance and Implementing structured agendas: Give each participant time to speak and ensure quieter voices (if any) have a chance. - Consolidation - At the end of the meeting/discussion, give an opportunity to the quieter voices to present a summary of the discussion. - Wise and Smart Usage of Technology: Using digital tools for surveys or anonymous feedback to gather input from 100% of participants. - Promote open and effective communication: Promote active listening and respectful dialogue to ensure that different perspectives are valued and heard. This helps immensely in building a good rapport with stakeholders.

If all meeting’s attendees are having the available privileges to have a look at the agenda points, it will be good to be shared, unless you have announcments OR agenda points that may cause worries over the meeting in this case sharing agenda items will be specified as invalid decision.

In the wake of COVID-19, effective meeting strategies(I adopted) became paramount. Key learnings include: 1. Purposeful Planning: Ensure each meeting has a clear objective. By sidelining superfluous gatherings, we boost morale and execution. 2. Dynamic Formats: Move beyond traditional presentations. Incorporating diverse tools like whiteboards and sticky notes fosters creativity and breaks monotony. 3. Promotion of Inclusiveness: Emphasising every voice (going around the table) in discussions amplifies engagement and diversifies perspectives. Adapting these strategies post-pandemic helped us become more efficient, productive, and inclusive team interactions.

In any group, there are dynamics which need to be recognized. There will always be those who take the lead and others who need to be encouraged to contribute. Typically, in our team meetings, one third of the group will contribute without being asked. The second third will add their voice after the first group has contributed. For the third group, either I or their respective Division heads will prompt a response. More often than not, some contribution will be made by the third group. However, it is important to understand is that it is not necessary that everyone contributes every time. In any democracy, while everyone has a voice, it is not a mandatory condition that everyone has to voice their opinion on all topics.

Totally agree and after that meeting share a MOM clear points and decisions that was taken through the whole meeting, and you can allow attendees to have thier digital signature on this MOM too , as a final confirmation of what they said or even shared to , through our meeting.

You can also add some fun factors through different activities like , Recognising their colleagues form their childhood photos etc.

Motivating the team is the key to contribute, asking questions can encourage them to speak and share their opinion and always show appreciation to any input from the team. Some personnel are willing to contribute independently while others need a push that can be fulfilled by asking them, open-ended questions will drive the discussion in a positive way and let them speak freely rather than leading questions that may limit the answers.

Not sure if that type of questions are available to be used through a meeting has almost 30 to 120 mins duration , focusing on the meeting with limited agenda items is totally different than brainstorming sessions

This individual holds the 'authority' to actively involve participants by directly seeking their inputs (e.g., 'John, could you share your perspective?'). Their role also involves ensuring that participation is balanced, giving everyone the opportunity to contribute. In online calls, where it can be challenging for some to interject, the facilitator plays a crucial role in recognising silent participants, for instance, 'We haven't heard from Brenda; perhaps she has insights to share?

Public acknowledgement and appreciation of individual contributions is motivational. However, it must be sincere. It must be merited. It must be proportional. Be careful not to overdo it. Cheerleading for the sake of cheerleading is just a spectacle in self-aggrandizement. In an age where mediocrity is rewarded, everyone is special, and silver stars are awarded for simply turning up, the best teams recognize insincere acknowledgements and false appreciation. In professional organizations, the best teams know when their contributions are being genuinely acknowledged by their peers and superiors. They understand that sincere appreciation of their contribution is merited, proportionate and balanced. So, be measured in your approach.

There is always 10 - 20% of members that will always answer the question or give their opinion on anything asked, I always go around asking the other 80% of members for their opinions first by calling them out and then appreciating their contribution whether it adds more value or less. This gives them a sense of trust and inclusiveness which makes them come prepared and excited for the next meeting. Practicing this for a couple of meetings will give us a team that is fully inclusive, builds trust respect and teamwork.

Setting ground rules is very important like respecting the speaker, getting members to raise their hand when they need to add something etc. It is healthy for meeting to have an agree to agree scenario and equally important to have a agree to disagree scenario too. Active listening is very important as many a times I have found the quietest of member will have a great solution. It is very important to encourage everyone to have a voice note all the points that are in agreement and the ones that have a conflict. While summarizing make time for the points that have a conflict and re engage the team for solutions. Together a solution will be found and if not then the problem is not ours to solve.

Sometimes, extended discussions conclude without a summarised email, leading to confusion. Different attendees walk away with varied interpretations of decisions and action items. Appointing a designated note-taker is vital. This ensures comprehensive documentation, clear task assignment, and facilitates efficient follow-up. Essentially, it guarantees that you didn't waste an hour of your life.

An important role that a people leader can play is observing meeting dynamics. We often think primarily in terms of facilitating or leading meetings that we miss the opportunity to analyze and evaluate. Sometimes getting granular with the data can be an eye opening experience. Make notes of what percentage of people contributed and how long each of those people contribute to the overall meeting. If you record your meetings, this can be done afterwards. We can't change what we don't notice and sometimes people have a poor or biased memory of how a meeting went.

Feedback system: It’s one things that works everywhere. All one need to maintain is proper channel for same so that every single member can make an effective use of same.

A Leader whos' intention is to get everyone involved and contribute is more important than just having a meeting for the answers. There will always be challenges that need to be resolved but being inclusive and ensuring contribution from all will be a driving force to resolve all and any upcoming challenges.

Be Mindful of Time Respect participants’ time by starting and ending the meeting on schedule. A well-organized agenda with allotted time slots for each topic helps maintain focus and ensures that everyone has a chance to speak.
