How can you encourage collaboration in a remote team?

1. Frequently answering What, Why and How 2. Clarifying on expectations 3. Getting to know the team in unique manner (adding personal touch) makes the remote team feel closer to the office and leaves a positive phycological impact. Keeping a full time remote highly motivated and efficient team is always a task, adding little more frequent formal and informal communication work wonders.

Remote teams are nonsense. The way you promote collaboration is to hire people willing to come into the office and work together. Just because people can work remotely doesn’t mean they should

1. Clear Vision & Mission that are practical as well as achievable. 2. Above items should be the outcomes of the process of Forming stage and Storming stage by the entire staff and Team. 3. Firm ,although not complicated , protocols for each tasking are clearly determined and implemented 4. Daily , weekly, monthly monitoring of the execution of the protocols is officially implemented and discussed in staff meetings. 5. Identify the Model or Leader in the execution of all 1,2,3 and 4 and officially offer award in any form. This is what I call “Streamlining Tasks through Clear Vision & Achievable lMission “. HKY

Collaborative tools are essential for effectively running a remote team. Adoption can be tricky and make take longer than you'd like but it's possible. A few key things to consider: -Leadership's use of the tool. If leadership hasn't bought in and fully integrated the tool, it's going to be tough to get the team to buy in. You can't NOT lead by example. -Prepare the team and give them grace. You can't expect everyone to be fully proficient on day one of roll out. Roll it out in stages and give LOTS of support and training. You'll probably have to repeat yourself a lot for the first few months. -Even if you have recorded trainings, have someone that can 'hand hold' when needed. At least for the first 3-4 months of integration.

Implementing and promoting the internal use of reliable desktop instant messaging software will greatly assist in keeping collaboration high, while in some instances, allow team members to remotely enjoy friendly written banter. Be sure to clearly communicate to your team how much collaboration is optimal, how to write clearly and briefly, and why collaboration is crucial to your process. Remember that remote workers tend to "go down rabbit holes" or tend to become types of "lone wolves" as far as completing projects. Keeping this in mind will allow you to better send friendly reminders regarding the process, OR will allow you to open avenues of discussion more frequently.

Maintaining connection in remote teams is a challenge. Using Microsoft Teams can encourage collaboration through chat, meetings, team organization, app integration, and file sharing.

Genuine willingness to collaborate and achieve mutual goals are key drivers in the process. The biggest challenge is trying to collaborate without a mutually beneficial objective.

As manager or team lead, you will also be able to use desktop IM software to send brief notes to your team, such as congratulating a member on a paragraph well written; for a great client email sent, or for landing a new client. The possibilities for keeping your team engaged while using desktop instant messaging are endless and if used correctly, can go a long way to keeping morale high.

Create a culture of open communication where team members feel comfortable sharing ideas, asking questions, and providing input. Involve team members in decision-making processes, seeking input and perspectives from different team members to encourage inclusivity and collaboration.

In-person teams have the advantage of experiencing so many 'little life events' together. These can be struggles and triumphs that help team members truly get to know each other. Leaving time during virtual meetings to share these moments can build relationships and trust between remote teams. Start a meeting with 'what's one personal struggle or triumph you can share today'. It may be something as simple as someone's new puppy sleeping through the night. Those shares immediately bond each other with similar interests and challenges. It gives teams a chance to cheer each other on and offer empathetic advice to know they are cared for.

What I find helpful is to spend at least 5-7 mins at team meetings to catch up with people - chit-chat, discuss weekend highlights, or even doing a simple tem-building activity. I build that into the agenda. So it helps simulate some of the proverbial "water-cooler chatter" or similar interactions that happen organically in an office with members being face to face. Additionally, to ensure that all members feel "seen and heard" during group interactions, I invite 1-2 members to lead meetings each week; this rotates, so everyone gets a chance to do it their way. Of course, being on camera and using the interactive emojis is helpful too.

Our remote teams are audited and given feedback on a monthly basis. This is not punitive in nature, but more for professional development and team building. If employees know their shared work responsibilities, and know that all will be held accountable, then trust is built.

Microconversations are powerful for feedback and recognition and they happen more organically with in-person teams. For remote teams, here are a few ways to prompt these interactions: 1-Use company core values and mantras and acknowledge team members that have recently demonstrated a core value. Be specific about exactly what they did and how it connects. 2- Use 'Has this ever happened to you?' moments. If a team member comes to you with a struggle but doesn't want to be put on the spot, you can pose it as 'have you ever had a client who...?' and then get feedback from other team members on how they resolved a situation or lead the client to success. 3-Be prepared with at least one 'shout out' for your team at each meeting.

I would also recommend employees taking advantage of Employee Resource Groups (ERGs). While not required, I do encourage my teammates to join at least one ERG of interest and stay engaged! It’s a great way to network with other departments and it allows teammates to interact with other people doing different work. All of this adds value to both the employee and the team.

I have found that setting clear and concise guidelines and then giving the person or team some autonomy within which to achieve goals was very helpful. Promoting a culture of continuous learning, experimenting and collaboration further solidifies commitment to the team goal.

Have one on one connect with your team members to understand better about them. Weekly Team( all teams though they are not from same project) meetings with few defined agenda and open topics to discuss with entire team on a video mode will help to know each other . Dont forget to praise in these weekly meetings on good work done and brief about the unique solution etc which will help other teams to learn from other teams which in turn will help team member to know who can help technically in their own project or from other project under same delivery manager, which will also build trust and communication among team members.
