One strategy would be to have a mutually developed detailed work plan and list of action items then follow a 6Sigma like cycle assess, plan, observe , improve, modify, implement ... and keep the work plan synchronize all the times and stick to the latest plan.

Set the expectation from the beginning; the roles, the KPIs, the regular catch up schedules, the communication tools, etc. Better if these are recorded/written in a shared docs that can be accessed and shared to all team members as common guidance for all team and also can be used to onboard new team member,

Ensure to have meeting time that works best for the majority; else you can do rotation of meeting time. Avoid contacting people outside their office hour unless it's an emergency. This may affect their engagement as well.
