How can you create a tour itinerary that meets diverse traveler needs?

Crafting a diverse tour itinerary involves understanding your audience through research, building in flexibility, and being culturally sensitive. Understanding that no two travelers are alike is incredibly important, so getting to know a little bit about each of our clients helps to make sure that we are designing an itinerary that is specific to them and their needs. Some travelers want an itinerary that is jam-packed with scheduled activities, while others want to play each day by ear. By getting to know what is important to a client, we can better assess what types of activities to suggest. Forget about the big picture and put your focus on the people inside the big picture.

A tour itinerary should give room for space. Yes your clients wants to explore but that doesn't mean you should choke them with activities. There should be time for even adequate rest, time for them to have other activities of their own. This will ensure that they don't easily get exhausted while on the tour and it would also help them manage their budget and not over spend.

Finding the right balance between scheduling activities in advance and leaving free time in an itinerary comes down to two things: logistics and preference. As an advisor, one of my responsibilities is designing itineraries that make logistical sense, while also making sure that my clients are moving at their preferred pace. Often, I like to suggest one or two scheduled activities per day (depending on what they are, how long they take, etc.), leaving the rest of the day as free time with some activity suggestions that our clients can follow (or ignore!) based on how their day is going. Having freedom while traveling is so important, and trying to keep up with an itinerary that is just too busy is often more exhausting than exhilarating.

You need to have good balance of exploring and relaxing time for your guests in the itinerary. Having a dinner out for example is a relaxing experience. Getting your guests to explore the city by bicycle is a good way for them to explore on their terms.

When first meeting with a client, it's important to ask them whether or not they have any special needs or requirements that must be met. This may refer to limited physical abilities, dietary preferences, medical conditions, or something else you may not have even considered, so it is always important to ask. After assessing these needs and requirements, make sure that the suppliers you are going to work with are aware of and able to fulfill them. No single product or experience is going to be right for all people, so it's very important to understand which ones are going to be a good match for clients who have expressed a special need or requirement. Your clients will appreciate the extra effort made on their behalf.

It is always good to inform your guests about the physical fitness required to complete an activity. A physical rating with a good description will help your guest to make their own judgement on selecting activities on the itinerary. In GIT for example this will give other some members to relax which others are taking up tour activities.

Keeping open communication between you and your client is so important while building out their itinerary, and it's good to keep all of their information in one place. Their itinerary should be both easy to read and easily accessible while they are traveling. Whenever you present an itinerary option to a client, explain to them what the logistics of that option are and help them to appropriately set their expectations. Disappointment is often caused by expectations not being met, so communicating as many details as possible is a great way to help clients better understand what they should and should not expect to get out of a specific experience or activity.

A tour itinerary should have a brief description of the sites that is being toured, site seeing duration and the travelling duration. Giving your guests first hand information is the key to keep them engaged.

Knowledge is power, so asking your clients for feedback on their experience is incredibly important. As advisors, we should be asking our clients for feedback on both their travel experience and on what their experience was like working with you, their advisor. By giving them the opportunity to tell you what worked for them, what didn't work for them, what they loved, and what could use some improvement, we are better able to advise the next clients we work with headed to that destination. It's important to remember that perfection is a myth and that there is always going to be room for improvement. Any feedback received from clients is incredibly valuable, so be sure to ask for it!

Post-tour evaluation will help you to further improve the itinerary. However you have to be mindful to evaluate the results and make amends according to the demographic groups.
