How can you create a sense of urgency in virtual and hybrid teams?

The SMART Goal act like a lighthouse guiding the team along the journey. ?? S- Specific - to keep team members focus on goals ?? M-Measurable - to make it easier to monitor and control the team performance ?? A- Achievable - Challenging but yet achievable to keep team motivated ?? R- Realistic - to be controlled and evaluated easily ?? T- Time framed - So it creates a road map along the way and its the best control tool.

Team Leader should let people know his expectations in advance. Also sending a status update tracker on a regular basis and ensuring that everyone is aware about the timelines in advance helps in avoiding a spillover. Setting up expectations in the beginning is highly important. A BCP (Business Continuity Plan) is also necessary specially to provide a cushion for events like sick leaves, family emergencies etc.

In virtual and hybrid teams, you can create a sense of urgency by transparently communicating the importance of tasks, setting clear deadlines, and fostering a collaborative environment that emphasizes the collective impact of timely actions, instilling a shared commitment to achieving goals.

Communication is a key to optimize team performance and increase their accountability. The sense of urgency can be well accepted by the team by strong and clear communication. Convert the regular weekly or monthly meeting and assure team participation and sharing their tasks and accomplishments. Always aim to create an open communication environment to support progress and focus on urgency.

Create a community environment, and build bridges and steams that run inside and outside of the project. Team build in ways that are accessible to all members i.e. games jam, create a clan, ect. Dont use terms that single individuals out, i.e strongest, weakest..ect. Think more along the lines of group progression.

Once a team member is comfortable up to a certain level, he should start working on additional initiatives . The team leader should set the benchmarks for the performance accordingly. It can be done week wise, month wise and quarter wise as well. That would really help in constant growth in a subtle manner. Even if the capability of the team member increases by 10 percent in a quarter, it is a win win for both the team member and team leader!

Letting your team members know the timelines in advance and also checking in/taking status updates on a timely basis helps in keeping things on track. Some teams use even power bi dashboards for monitoring the status update of the project on a real time basis. By doing so, the team leader shall have a bird eye view of all the progress and can easily make a plan B well in advance if he foresees a contingency!
