How can you create an emergency plan for a hotel that meets the needs of guests and employees?

Before the assessment of risks, I would be looking for the organisation to determine its risk appetite so it’s clear (to all stakeholders) how much risk the organisation is willing to accept.

As part of Pre-Emergency Event, from risk assessment we can determine necessary resources (Personnel and Facilities), later can be utilized to combat or response the disruption which can affect to the hotel operation. It is also good to comply these resources with legal requirements.

Assessing and identifying past, current and future threats is very important. Ensuring that past attacks do not happen again. Mitigating the current threat, researching and planning for any future threats. Attackers continue to find ways around the current protective walls. Always being one step ahead of them is very important. Where are the vulnerabilities? Assess them and correct them immediately.

Development of procedures may also include implementing engineering controls (e.g., installing smoke detectors and fire sprinklers), administrative controls (e.g., developing evacuation plans and training staff on emergency procedures), and personal protective equipment (e.g., providing guests with fire extinguishers and gas masks). The effective emergency procedures should also include the development of evacuation plans, communication plans, and medical response plans.

Based on the historical and present security, crime, and disaster data, a comprehensive risk and threat assessment will be conducted to inform the development of an emergency plan for the hotel. This will be designed to address potential vulnerabilities and mitigate identified risks to ensure the safety and well-being of guests and staff.

And then train the stuff yo understand that emergency plan and make a brief register for it that shows that everyone understands it and know how to use exit points and fire assembly point.

Procedures or guidelines are the road map to follow during an emergency situation. Having these guidelines in place gives clear direction which seconds can matter. That is why pilots have procedures they can can quickly resort to during an emergency situation. Therefore. in an hotel situation there must be written procedures to deal with every type of hotel emergency to effectively not only save guests but staff as well.

As the saying goes, no plan is going to survive the contact with the enemy. Therefore it is imperative to make soft / flexible plans so that the respondents can adopt themselves to every possible incident.

Training of the staff is crucial for the success of any emergency operations plan. If the staff is trained then they will be able to assist the hotel guests. The management must allow the staff to have some ownership of the plan. This is a group effort for the protection of everyone.

The listed scenario of potential Threats during risk assessment process can be useful material to conduct training/drill whether through table top exercises or actual drill.

Essential for the overall plan is staff training. While tabletop exercises are beneficial, engaging staff and first responders in full-scale drills, complete with after-action reviews and comprehensive testing of plan parameters, is crucial. The journey is thorough and time taking, but as a proactive approach it is worthwhile. As an emergency management expert, I have consulted many hotels on the continuous evolution of emergency management communication procedures. Staff are the first channel of communication, and their understanding of multi-cultural, multi-ethnic and multi-age group needs is a key. Depending on the geographical risk profile of hotel, there should be an initial briefing of every guest by introducing them to basic emergency process for the most significant risk. This also creates trust between guests and staff and when an emergency appears than its easy to inform them.

A good public address system is crucial during emergencies to pass messages to residents about the incident and direct them via corridors or routes to safe heaven or safe assembly points.

Information is key which is the reason multiple evacuation plans can be seen throughout any hotel and in the room a guest resides in. Having done evacuation plans, any area must show guests the quickest path out of the hotel safely and effectively. Also, emergency lighting (battery packs), glow in the dark markings etc help clearly mark these paths during an emergency situation.

One thing you can be sure of is that almost none of the guests will read any of the emergency information provided to them. (Compare it with airline safety instructions. Even though FAs give instructions on every quite a number of passengers will not pay attention.) Active information sharing during emergencies is key.

Some of the factors for displaying this information need to be languages and visual controls. There is a fine balance between the information causing people not wanting to stay at the hotel based on uneducated fear as you try and maintain the safety of the guests at the highest levels.

We have seen in the recent path that emergency profiles have been evolving with rapid pace. This also put significance on more regular checks on your emergency plans. A hotel could also be starting point of emergency in medical emergencies which needs considerable action on the containment of emergency. Post incident briefs should also provide inputs to emergency plans and it should be a breathing document.

Being repetitive such as reviewing an emergency plan over and over helps insure weakness in any plan are captured, resolved and incorporated into the overall plan. Also it is great to have these plans reviewed by multiple types of individuals who may bring a different perspective not thought of for weaknesses a plan may have. Also codes continually evolve to help prevent or reduce casualties during an emergency situation. Professional inspections of any hotel on a regular basis may highlight weaknesses and give insight to where a plan may be lacking for capturing and implementation into the plan.

Staff's should be properly educated on the use of Security Checklist in every activities, in their conduct as handing and taking over duties, these to checkmate Staff's roll and conduct as a feedback to the management. Recommendation: For Emmangency, Mind Management training for Staff's And Management Staff's is highly required for smooth operation.

There are industry guidelines and also local standard compliance to document the emergency plan however it should be widely available to staff and needs revision every couple of years or after a significant event to re-amend.

As per my experience, hotels have been used for the containment of viruses and every breach in the protocols or emergency procedures have caused significant damage to community. In state significant risks, hotels should be added as a social asset and treated with critical infrastructure guidelines to help protect the community.

Assessing risk and training staff is a standard operating procedure or rather should be at the heart of emergency planning for the hospitality industry. More often than not, an incident occurs due to human negligence, wherever there are humans taking decision; mistakes WILL be made and a good risk manager would have considered this acceptable risk in its planning. For example, a high risk hotel in a conflict zone at risk of bombing, the damage will be inflicted even at the most "secure site" the focus should then be on damage control. It's unfortunate but true. There is no such thing as 100% security.

I would also consider implementing and rewarding various risk identification/aversion... I.E. if there is a wet floor, dry it... if a carpet is wrinkled--un-wrinkle it. Sometimes the simplest thing can cause an injury.

One of the best practices is to have a trained and qualified crisis management team from the hotel staff and management to control the emergency and direct other staff. This team can be operating from a command center in the hotel itself or outside.
