How can you communicate technical information to the public?

What has worked for me is to (1) humanize the information and breathe life into technical content by infusing a human story into the narrative; (2) use plain language and simplify technical terms, jargon, and acronyms; (3) use visuals and graphics to illustrate complex concepts or processes, as they can often convey information more effectively than text alone.

Why should the audience care? That is the first question to be answered. In the age of distraction, we have infinite competition in the content we choose to consume. If it affects the audience, tell them how!

I also like to start with a human interest story representing an actor in my technical work and then highlighting an issue in the technical side using real life examples that people can relate to. An important piece is also having a call to action at the end.

Keep it simple as possible. Know who they are and look for synonyms that resonate with your target audience. The intent is to try to listen to myself through their ears and make sense of it all.

Communication regardless of who is involved, can only be effective when you know who is at the receiving end. For exmaple, during one training I was involved in, the training was segmented into a group of two consisting of people with accounting background and those without accounting background. This was done to facilitate communication since people who had a background in accounting were on a different level compared to those without accounting. This helped more resources and time be given to those without prior knowledge and also saved resources that would have been used on those with an accounting background since less needed to be done. So I would say knowing your audience is beneficial in communicating and even saving resources.

Here's my top advice: 1. Keep it simple, like explaining to a 12-year-old. 2. Use clear examples that an unexperienced young person would get, 3. Add lots of visuals. Visuals make technical processes and concepts easy to understand to a specific segment of our community because we all learn in different ways. If you know your stuff, this will be easy. If not, I suggest asking uncle ChatGPT for help! He's great at making things easy to understand, it all depends on your prompting capabilities.

I'm old school. K.I.S.S. 'Keep it Simple, Sister.' (yes, I replaced the previously used word!) - Say what needs to be said. - Explain what is relevant and let the conversation flow into more detail if the audience leads it there. - Always be listening for what is of the most interest and relevance to others. - Be sure you cover key information and be available for clarification or added questions. Making an effort to be simple also gives you an excellent opportunity to refine your own train of thought and decide what words you write or say are of real value vs fluff.

Aside from being useful to do for non-technical audiences. A person's ability to simplify a concept tends to indicate their expertise in it. Ever been in a meeting with consultants or analysts that say a lot but aren't really saying anything? It's easy to throw out buzzwords or tech jargon. But asking someone to explain their content in a manner that a 5th grader could understand will really test their comprehension of it.

Begin with the end in mind. Consider the ultimate goal of your communication (be it to report earnings, propose a solution, or pitch an idea). This objective should be crystallized into a mission statement: 'By the conclusion of this [presentation/meeting/report], the audience will have a clear understanding of [desired outcome].' Identify the essential components that make up your desired outcome – these are the 'core ingredients' of your message. With these elements defined, you can craft a narrative that guides your audience through each component, building toward comprehensive understanding. This approach ensures that by the time your audience reaches the end of your communication, they are crystal clear on your message.

People absorb roughly one big idea every 90 seconds. If you have 3 minutes to talk, then you could include 2 ideas or multiple examples of one idea. After three minutes, you may start to lose the audience unless you have a change in tone or the story shifts in some way. It is tempting at that point to introduce a new idea. But don't. Short term memory starts to fade after 3 minutes and so people will start to forget what you just told them 3 minutes ago. Take the time to reinforce what you just said.

For example, in explaining how Web3 changes our understanding from the current Web2, technical experts can emphasize differences in value like the transparency in blockchains vs a general database created by any Org. to store data, which may easily be manipulated for business reasons. Another main idea in Web3 would be using personal info like names, emails or passwords for online authentication versus a unique private key to identify users on a blockchain. These examples differentiate some main ideas on the difference of Web2 and Web3 coming, with decentralized methods, providing value for online transaction and interactions in different user cases.

In my experience, I faced the challenge of explaining a complex digital marketing strategy to a group of business owners who had limited knowledge of online advertising. Recognizing that digital marketing jargon can be perplexing, we opted to relate the strategy to a familiar concept - a map for navigating the online landscape. We likened the various marketing channels to different routes, helping the business owners connect with the technical information and understand how this strategy could guide their digital presence and growth. This approach made the technical details accessible and relevant to their business objectives.

Personally, my strategy to delivering content while keeping your audience engaged is to share a life event or testimonial that your audience can relate to, this draws your audience in and enables active listening. Once your audience is drawn in, link the life event or testimonial to key concepts of the presentation while using plain words to show the benefit of the information being delivered.

One approach I apply, especially in simplifying some of the technical pieces we churn out to the public is to 'storify' the message, using more relatable analogies. This way, you are helping the audience place a connection between a technical piece and some concept or day-to-day experience that they can relate to. A successful approach always gets the end user saying - 'Oh! So it is that simple? Or ‘I never really thought of it that way’. I also find incorporating relatable languages/Slang quite helpful.

Personal anecdotes have been a great way for me to relate to my audience. For instance, I've had countless chats with students who wanted to know how I pivoted into tech from business. Where I was really able to relate with them was by sharing common pain points I knew we both had. Ex. tedious application processes, failed interviews, etc. I find that understanding what you and your audience have struggled with on the topic is a good start for relatability.

In today's digital landscape, a multimedia approach is often ideal, but you still need to choose from a multitude of possibilities. Consider the following questions: . What are the principal objectives of your communication? . What will be the chosen tone? . Through what channels will you disseminate the final media product? Having comprehensive answers to these questions is essential for determining the most suitable form for transforming your technical information into accessible and engaging media.

As per my suggestion technical information can be communicated to public firstly by understanding and knowing the individual so based on that study can either use visuals and incorporate story telling or use other effective ways based on the individual formats.

Gathering feedback is an essential part of the communication process. In a project involving IT system updates, we set up a user feedback mechanism. Users were encouraged to report issues and suggest improvements. Their input not only improved the system but also made them feel heard and valued, fostering a sense of ownership and trust in the technical changes.

From my experience it is important to research the language of the target audience. How do they speak, what do they refer to certain experiences and actions. This helps me to plug into that dynamic and express my technical terms in relatable ways. Do not speak from your position of knowledge. And do not assume the expressions either. These are very important.

What has worked for me is to simplify the message, let be short and to the point. Depending on the type of audience, using animation and short engaging demonstration videos can capture the interest of your audience. In all this the comms person works closely with the technical team

A good story is comprised of the five W's (who, what, where, when and why) and one H (how). But even more important, is that a good story should answer the question, 'So What?'

Stay clear on your objective. What is the purpose of sharing? It's ok to revisit this throughout a project, in fact, it's important to remind yourself regularly. Ask yourself, why is this important right now and what do I need to do to achieve this. Oh, and don't forget to add a call-to-action!

The best way in my experience in the health sector is to work with an expert on communication. As a technical team, work with them to define key messages & the target audience. After that have them work their magic which includes deciding on suitable drafts, testing/piloting the materials and ensuring the messages and the media used are clear and relatable. Depending on the goals integrate a way to track people reached and impact on expected outcomes.
