How can you balance multiple IT deadlines effectively?

There is nothing special about IT priorities and not sure if “balancing workload” is the answer either. In a competitive or evolving environment , not sure if there is a choice to say “No”. A more practical way maybe to figure out what is needed to get it all done and that will force prioritization. I hear about prioritization a lot and my question always is about any proposals for discussion. Teams , like people can easily give into a notion that only one thing is possible.

In my experience before taking any new IT project, you need to assess your current workload and capacity. You have to be vocal about your available bandwidth and not get pressurized to accept something which you can't deliver anyways. You should always prioritize tasks based on criticality and urgency. Focus on one task at a time. Create a clear timeline and get agreement on same from all stakeholders so that expectations are clear.

Balancing numerous IT deadlines requires a deliberate strategy. Few things i have found helpful is discipline, consistency, and being vocal. Approach: 1. Define scope clearly, make high fidelity wireframes and if needed then user stories against use cases. 2. Demo to customer atleast once a week. 3. Daily standup scrum calls, via MS Teams/ Skype. 4. Blockers discussed and handled asap. 5. Project management tools like JIRA.

Align with stakeholders to blend technical tasks with business goals. Encourage team collaboration, incorporating diverse input and visualizing dependencies. Treat the timeline as dynamic, iteratively adjusting it throughout the project. Utilize it as a communication hub, sharing progress, challenges, and adjustments. Everyone in the company knew them and would call them directly for everything. Each work inject became their new priority. To help them manage this, I would ask each of them each morning what their top three priorities were. I then had them let me know immediately if any inject work came their way during the day. When these came, I'd ask, "Where does that objectively fit in your priority list?" If you need to visualise what you're working on, use a whiteboard or removable whiteboard paper to draw out the frame of what you're working on. If you need silence, find a space where there can be no interruptions. Put your phone on silent or better yet, leave it in another room. Switch all your notifications off & change your status to "do not disturb". There are some people who thrive from context switching. If this is you, consider what pieces of work you're going to switch between to ensure maximum productivity and focus for each.

If there are any challenges or issues with what you're trying to deliver that may result in a delay - set expectations with your stakeholders and with yourself to remain firmly grounded on what is achievable. Eating well, taking regular breaks and moving your body is vital in any role and particularly when deadlines are looming - don't forgo taking care of yourself for a deadline.
