Clearly define the job requirements and qualifications before initiating the talent scouting process. Ensure that all stakeholders are aligned on the essential skills, experience, and attributes needed for the role to avoid wasting time scouting candidates who are not the right fit.

This is the worst! You are trying to inspire and engage. Nothing is worse than trying to tell a candidate you've never connected with before that you have a perfect position for them – how could you if you don't know what is important to them? People receive spam calls and emails every day, and they view recruiters sending generic "spray and pray" messages in the same light. My advice: make sure to address what's in it for them, why you're interested in reaching out, how there could be a benefit for them in connecting, some information about the reason for your reaching out, and any other personalized information you can share to help them see that it is definitely worth their time, effort, and energy to connect with you.

Acknowledge this in the outreach: "I need your help. I'm networking my way to someone who'd find this opportunity valuable and hoping you'll consider sharing this with your network. Not only can you potentially change the life of someone you're connected to, you can receive a nice reward for your effort." For this to work you should have a referral policy in place that's both attractive and accessible enough to motivate their help. This has worked brilliantly for me in the past.

Ghosting is THE top complaint of job seekers. Not only damaging your company's (and personal) reputation - it's not kind. For screened out applicants, inform them promptly via email. Any template is better than silence. If they're interviewed, inform them up front they can email you for an update anytime. For the recruiter this is anything but a nuisance; it's a valuable line of communication. With a simple reply "no update yet, stay tuned. Any news on your end?" the recruiter remains informed on a candidate's availability. Lastly, all applicants must be informed when the position is filled. Since these are the first people you'll contact when a similar role opens later, leaving them pleased to receiving that future call is imperative.
