How can you actively listen and build trust with your virtual team?

Active listening can be much more challenging virtually, as there are so many distractions present on a computer screen. In order to best listen, muting any additional applications (Email, Slack, Social Media) is the first step. All attention should be on the video or virtual conversation. Eye contact is also important to show the team member feels heard. Taking notes can help the listener repeat back what they believe the person is saying - to ensure they are not missing any details and understand the issue, request, or feedback the person may have.

Asking open ended questions is one way that enhances communication and especially active listening. When we anticipate that the answer is not a yes or no which is normally the case if we ask closed questions - we tend to pay more attention.

In my experience, active listening transforms team dynamics. By genuinely understanding each team member's perspective, we create a collaborative environment. This practice has consistently reduced misunderstandings and nurtured a culture of mutual respect in my teams.

Having cameras on should be mandatory in order to establish eye contact and observe body language and other behaviors that may indicate hesitancy, confusion, distraction, or other challenges that interfere with our ability to connect, inquire, and build trust.

What often holds people back from active listening are too many distractions like incoming emails, a buzzing phone, etc. Another obstacle in the way of active listening is when you think about what to say next instead of focusing your attention on what the other person is saying. Try to listen on several levels - not just on what is said but the context, tone, hesitations, etc. Listen with curiosity and a desire to understand first. It will naturally enable you to ask insightful questions to deepen the understanding and trust.

Active listening demands preparation. Despite the benefits of virtual work, focus poses a challenge amid technical distractions and back-to-back virtual meetings. Navigating hourly video calls requires strategies to stay focused over time. I personally highly recommend a one-minute break with a breathing exercise to renew your focus. This aids in staying attentive during meetings, preventing mental drift. During the meeting, paraphrasing the other person's words ensures accurate understanding, conveying active listening, and attention in virtual interactions.

Avoiding distractions like responding to messages and emails. Pay attention to what is being said by taking notes, posing queries, confirming the points, and ending the discussion in a kind and outstanding way.

Active listening is crucial, especially in online interactions. However an online setting makes it often more challenging to practice active listening. In my opinion the most difficult but also important is to stay fully engaged. In online conversations, it's easy to get distracted. To actively listen, focus on the speaker by minimizing distractions. Close irrelevant tabs, mute notifications, and maintain eye contact (if via video) to show your attentiveness.

I've found success in online active listening by mirroring emotions expressed in messages sometimes with emoticons and clarifying intentions. Regularly summarizing key points helps ensure alignment. This approach has improved my team's clarity and cohesion, even in a virtual setting.

Active listening goes beyond simply understanding words; it involves acknowledging emotions and perspectives. One thing I would add is the power of the pause. A lot of growth happens when we give our clients a safe space to reflect and ponder. Active listening involves what’s being said and sometimes what’s not being said. Oftentimes, a coach feels the need to fill the space when a coachee gets silent. This can be a disservice because it interrupts their flow of thought. Practicing the pause is a fantastic way to build mutual trust and allow for growth to occur.

I regularly seek feedback on my listening skills, seeing it as crucial for personal growth and team development. This practice not only fine-tunes my approach but also visibly strengthens the trust and rapport within my team.

Out of sight should NOT be out of mind. Connecting with virtual teams requires understanding how your team members wish to connect in this type of forum. Having regular scheduled sessions on status updates or more light conversations is critical in making sure your virtual team is included. Additionally, disseminating information that might be imperative to them must not be overlooked.
