Agile PM tools include software tools, soft skills, art, and science… I’ve loved using Kanban, Scaled Agile (SAFe), Jira, Confluence, SharePoint, Mural. I’ve found that Microsoft Planner, Trello, and Asana are a little less capable for SAFe, but also can work great for basic needs.

Two things I like about agile are, every individual is committed to what they do, as they have the opportunity to be part of the estimation process. Some pointers: - Small projects, early-stage start-ups: Trello should do the job - More than 2 teams, need for cross-functional alignment: Jeera or Asana out of the box - Multiple teams, need for continuous alignment and reporting: An Aha-like tool to track initiatives and business streams integrated with Jeera for traceability to the final execution tickets. Other supporting tools: Documentation: Notion, Confluence, Google Docs Flows: Miro, Mural Graphics: Canva, Figma P.S.- Avoid going overboard by having too many tools. They should be enablers, not a distraction.

Burndown, velocity, and other high-level progress views serve as crucial indicators.

Agile teams are usually mature enough to know a lot needs to be done and that a substantial backlog awaits them. When working with cross-functional teams, organizing and prioritizing the backlog is an important activity especially since there can be a lot of dependencies and competing priorities that might come into the picture. Tools like Jira are effective for prioritization but at the same time, project managers need to depend on models like MoSoCoW, 80-20, etc. to get an effective prioritization in place along with involvement from relevant stakeholders.

When you are working with other teams in a distributed environment with dependencies galore, collaboration & communication can be best done using these project management tools. Using a tool gives more visibility and access to information for folks outside the team.

One of the great benefits of using agile tools is transparency. Everybody can have an eye on the burndown and progress of the project. This saves time for each resource on the team and higher management as well. No on is dependent on anyone to ask about the progress. Everyone can see it.

In my experience, the agile planning tools tends to take time away from the team if not controlled. Endless backlogs, active sprints that keep changing and developer progress not up to date. The sense of planning is killed by stories that are carried forward continuously and sprints are overloaded and never done. Agile methodologies are high discipline processes. It requires a very engaging coach who does active risk management at every standup. Personally I need visibility of the current progress. Big screens and whiteboards need to be deployed.m so the stories can be discussed and the risk of failing, managed. The tools should mostly be just for tracking.

You can best help your clients prioritize by coaching their mindset, not implementing a tool. I've had many many clients who had prioritization problems, but I've never seen one whose problem was solved with a tool. Sure, tools can help visualize and organize work, but if your organization doesn't have a culture of prioritization from the CEO down, you will be challenged. In such organizations teams and Product Owners will be under constant pressure to overcommit and to work on tasks "in parallel." Mindset > tools.

Work collaboratively on the action items and closely track the same. Use risk management techniques like ROAM (Resolve, Own, Assign, Mitigate) to monitor the risks effectively. Tool choice should be based on project complexity; eg., use Jira for large projects, Trello for smaller ones. Involving teams and stakeholders in tool selection ensures alignment. I agree, we should never solely rely on tools; but rather supplement with brainstorming sessions, votes, and ranking to enhance prioritization, promoting a balanced approach to agile project management.

And as you overcome as a team, you find how well all of it continues to work itself out. Like a flywheel, the work becomes easier and easier. And then, you’re producing great results.

In order to overcome challenges, approach towards adoption & usage of these tools plays a very important role. 1. Inclusion of stakeholders in arriving at the selection of tools, 2. research about all the available tools & sharing the information early with the end users and preparing them for the change, 3. thorough training about the tools, hand holding if needed during the initial period in order to help them get comfortable with the usage, 4. seeking feedback, 5. encouraging ideas for improvements in the usage &/or alternatives, 6. evaluation of the tools and its impact on productivity, way of working, result comparison against expected and actual will all help overcome the challenges posed by introduction of or changing to these tools.

I would actually go the opposite way - yes, you do need to consider whether a particular tool fits your needs, but above all, go back to the people and what tools they are comfortable with. There's no point of using a tool that seemingly fit your project complexity but the individuals in the team are having trouble to effectively leverage the tools. Processes and tools should never be a hindrance to the progress of the project.

First, work without tools; use whiteboards, index cards, sticky notes. When you've done this for a while, only then will you know what parts of the work a tool might help with. It is a big mistake to buy a tool before you understand why you want it. It is a big mistake to buy a tool that forces you to work in certain ways. Think carefully what you need; then find flexible tools that will both support what you want today, and are likely to be able to support the unknown wants that we will have tomorrow. The process belongs to the team; never let it belong to the tool.

Strong motivation and coaching skills to guide and support team. 3. Sound judgement under pressure and ability to keep calm under stress. 4. After these skills, try to evaluate the tools such as Atlassian Jira + Agile, Asana, Kanban board etc.. which apt for the current project and organization needs.

Emphasis on going back to the first point in the original Agile Manifesto: Individuals and interactions over processes and tools Often times, in practice, between the different skillsets in the team (product, project management, engineering, testing) end up following process (and the tools that support the process) for process sake.
