I had the duty and privilege of creating multiple templates for transitioning multiple CIO's in and out of the organization. It all begins with creating the initial transition outline. Identify the top-level categories of your topics to cover for the transition. In my experience I found that the following six were the ideal categories/buckets by which all other items fall beneath: A. Operations (keeping the lights on) B. Programs (PCI compliance, audits, training) C. Projects & Initiatives (new or overhauls) D. People (staff, annual reviews, delegated items) E. Policies & Processes (written directives & SOPs) F. Misc. This is simply the tip of the iceberg, but it get things started.

Audio and/or video is the most effective means, in my experience, to transition. When I was transitioning into another role in 2012 I did not know who would be replacing me. As a result, I needed to think of a meaningful way to leave my transition so that anyone could simply open a MS OneNote file and listen to audio/video that I implanted within the folders. For example, I created a video that provided an overview and step-by-step procedures for aggregating weekly metrics (i.e. availability of systems, storage and backup capacity). This was much more efficient than attempting to document, since your replacement can receive needed training by simply watch videos or listening to audio on given topics.

3 Review Access Rights

Communicating far in advance that you are exiting the organization is the measure of a considerate and loyal team member. In my case I provided ten months notice that I would be retiring. This allowed for an organized and quality based approach to documenting, facilitating transition meetings, educating those who would take on my duties, answering questions along the way. The value to the organization when you provide advanced notice (vs. only two weeks) is that the organization will not fall on its knees or become crippled because you were thoughtful in thinking of the team. It is also ideal if you facilitate transition meetings on a scheduled basis (i.e. weekly or monthly) to go over progress and answer questions.

6 Finalize Handover

As you near your retirement date, finalize the handover process by checking that all tasks have been completed. This includes confirming that documentation has been handed over, all necessary training has been provided, and access rights have been appropriately updated. Set up a final meeting with your successor to go over any last-minute details or questions they may have.
