Here's how you can overcome challenges in managing healthcare projects as a nurse.

Being a part of and leading many healthcare projects, I would add that it is equally important to validate those goals with those who are impacted by the outcome of the project.

We often forget the importance of the contributions of nurses to projects. Nurses often have to balance their patient care responsibilities, administrative tasks, professional development activities, and work life balance. Nurses are so specialized that finding a replacement for them to participate in hours of project management meeting/events is difficult. We need to use more virtual techniques, data gathering platform, and minimize travel to locations. Consider observation to get information, and validate their voice of the process or concerns. Nurses recognize the importance of self-care to maintain physical and mental well-being while juggling patient care and projects. We have a nursing shortage, we have to work differently.

It's easy to get overwhelmed by the complexity of the projects in today's healthcare environment. Step One is to take a step back to view the situation analytically and objectively--as caregivers we are sometimes so invested in our patient outcomes that our judgement can get clouded by our emotional connections to the patient or situation. Step two is start with the end in mind--what is the immediate goal you want to achieve? Step three is to break the pathway to the end goal into concrete steps--what are the 4 to 5 steps it will take to move you towards the end result you have defined? Step Four is to stay the course--adapt as necessary, but do not get distracted with other problems, keep your focus on the end goal. Step five--Sucess!

It never ceases to amaze me how many leaders don’t understand the difference between strategies, goals & actions. Before you can get any project off the ground successfully this step must be completed in its entirety.

A strong PM team can make or break a project. In my experience staying on track and keeping everyone responsible for their portion is key. I suggest keeping all scheduled meetings. All too often projects fall behind when momentum is lost.

Planning meticulously is like crafting a roadmap for our healthcare projects, helping us navigate the twists and turns along the way. We break down tasks, play to each team member's strengths, and stay ready for any surprises with backup plans in hand. It's like weaving a safety net to catch us if things get tricky. And just like driving, sometimes we need to take a detour or reroute based on what we encounter, staying flexible while keeping our eyes on the destination.

In healthcare you have multiple SMEs. These individuals have a deeper more granular understanding of the problem you are looking to solve. My recommendation would be to remain flexible in the planning process so you remain committed to removing barriers for your team and engaging your experts. At the end of the day the leader doesn’t use the end result. We are not the builders we are the facilitators of creativity. Facilitate your experts and the projects will come.

One thing I have found helpful is having a how you deliver the clear communication with residents family and relatives but most importantly the team is essential as communication is not only verbally delivered. communication can be poor and ineffective due to the expression that is attached with the conversation. Example discussing a duty of Candor issue with arrogance to a resident and relatives will affect that communication as they are looking for remose

Along with team empowerment, communication is so important. We have got to learn to communicate through our own thoughts on the project. We need to ask questions of others' thoughts on the project. Knowing the thoughts of others involved and those below the usual decision-making parameters takes time. It can provide ideas that those less attached to the problem may not have. An open forum asking what others think of a project in the early stages can provide a lot of insight into how well the project will be received, understood, and implemented. We fear it will disrupt staffing, cause drama, and create stories. That has not been found. What's been found is it empowers staff and creates a more cohesive group to allow their contributions.

Communication should not be confined to meetings , updates and check-ins. Projects involving coding for example may require GitHub repositories, google collaboration etc. Team members should be allowed to be creative within the scope of project. More often than not some team members would feel left behind as not everyone is able to talk in a group. This should not be seen as a weakness, but rather give them opportunities to develop better by creating sprint teams. Hence scope is essential and should be used to ensure team members individual interests are aligned to project success.

Clear communication is like the heartbeat of our project—it keeps everything flowing smoothly. We lay out who needs to know what, when, and how we'll share it, kind of like setting up a network of pathways for information to travel. Regular check-ins and updates help us stay connected, like catching up with friends to make sure everyone's on the same page. And just like in any good conversation, we listen as much as we speak, welcoming feedback and ideas from everyone involved.

Investigate all AI and technology that may assist your project. In my experience, this can save countless hours of meetings, calls, and miscommunication. The capabilities are massive. This is where more CEUs would be best served to keep us up to date on ways to work smarter not harder.

Embracing technology is like adding turbo boosters to our project engine—it helps us zip through tasks with more efficiency and accuracy. We're all about using electronic health records, project management apps, and other digital tools to simplify our workload and keep things organized. But just like getting behind the wheel of a new car, we make sure everyone feels confident and comfortable with these tools, so we can all ride smoothly towards success.

In my experience, the advent of technology and artificial intelligence is something to behold. Technology not only facilitates collaboration, when used properly, it can alleviate healthcare stress and help teams accomplish a lot when used in conjunction with AI. Being open to change and welcoming training to get to speed and be able to use these new technologies is vital. I often hear colleagues say that AI will take our jobs away. I believe AI can enable us to be more productive when used appropriately.

Technology is the future, and we will need to feel empowered to use it. Team charter is an excellent tool to learn about team members strengths and weaknesses. Team leadership should always facilitate team members to learn, lead and support each other. Especially, in healthcare there is a wealth of experience and clinical expertise. This may sometimes mean less experience with technology. Creating a harmonious, healthy and supportive environment helps people to be more productive. Empowering people with a sense of ownership helps them feel safe about learning new skills like Technology.

Empowering the team assures that the subject matter experts are involved in the decision-making process and execution of tasks to achieve timelines and execution of the project. Sharing of expertise and engaging the knowledge of a team is key to a projects success.

One thing that I have learned over the years is that the success of a team can be measured by who the leader is. Leaders are first of all followers, they command respect and can set the tone for how team members interact with one another and within any project. A good leader should have vision and this vision is shared with team members, while also providing a road map for how to accomplish and realize this vision. In the face of adversity, remaining calm and providing guidance while also instilling hope in team members cannot be overemphasized. This has the potential to empower and instill a sense of calmness and confidence in team members.

Empowered role at work is associated with less job tension, more engagement, better outcomes, and a strong positive feeling about one's work. A collaborative, cohesive nursing team provides the best patient care. Solid internal communication and mutual respect in the overall multidisciplinary delivery process strengthens your team.

Monitoring progress is like regularly checking the compass on a journey—we want to make sure we're headed in the right direction. We keep an eye on timelines, budgets, and quality to make sure everything's on track, just like making sure we're on schedule and staying within budget on a trip. And just like adjusting our route if we hit traffic, we tweak our strategies to keep moving forward smoothly.

Working with nursing is so rewarding. As project managers, or performance improvement leaders, we shouldn't assume they know our language. We have hundreds of tools and techniques that we have acquired certifications. Take the time to level set with education to help nursing feel part of the team and speak our common language that we use all day long. Have you ever stepped back and thought about entering their world of nursing and having their common language to care for patients the way they so skillfully do? Both professions together can make progress and get results faster with an appreciation for each other's skills and tricks of the trade. Education sharing is key! Go and find a nurse and make a difference for patients.

As a society we need to go back in history and look at what professional nursing was for in the first place. It was an act of worship. The human was considered sacred and biological. Humans were in need of justice and nursing was invented to heal injustice. It was invented to give mercy to those suffering. I feel that policies these days are more about throughput than relieving injustice and suffering. I researched Kaiserswerth and the Theory of Nursing Presence (in Theology rather than existentialism). We must redefine human as sacred again. Pleasure to make money is good but joy can be present in any sorrow. It’s not dependent on circumstances. Healthcare society has lost its way.
