If they are just ending a difficult interaction with a client, give them some time to clear their mind. Also, take a moment to get your thoughts in line. Feedback and appreciation are the two key factors ,it's should done at the earliest ,if a feedback shared delay it will leads to errors , if a appreciation was provided with a gap ,the employee will lost the momentum, which leads to demotivation, both the things to be provided on time to get better results

If it's a matter, where there is it a lot on the line on the outcome, you must be direct and honest about feedback as waiting too long could be detrimental to the task at hand. Yes, we should be mindful of the person, but at the end of the day, you hire professionals to do the job and if a person needs to here unwanted news, that's on them to listen to the feedback and they should not take it personally. A lot of this is dealing with people and those skills are hard to teach and must be earned over many interactions. It is not fair to berate someone, but if someone messes up, they need to know it's unacceptable unless you foster an environment of poor results.

Use language that is specific to the problem not the team member, for example let’s say a customer is waiting on an order but there is an issue with the supplier. I have noticed that the last few incidents have not been reported clearly regarding the supplier issue and therefore the customer had trouble understanding. Rather then “You didn’t let the customer know and now the order is late”

Dialogue is always important in a working environment. Saying this is important but fostering this is the tough part. Management should be open and honest and try to create these opportunities and not say please communicate in the last 5 minutes of zoom call and say they did their best. This is something that is hard to produce in a remote working environment. These are built over months and years of side conversations at the office or at lunch and without those many opportunities, it is extremely difficult to build trust and dialogue that is constructive.

While at first, it may seem best to give instructions and expect improvement and implementation, remember that there needs to be an interchange of ideas. Perhaps the team member has a perspective about their interaction that needs to be taken into consideration. And encouraging them to express themselves can also help them to come to the correct conclusion through their own reasoning. If they can do that, then they are more likely to put the needed changes into practice.
