You or your organization are only as good as your customer perceives you are, incorporate them in anything you do, they are your stakeholders…

Data analysis is a developed skill. Using “surface data” may or may not allow you to realize the results you’re hoping for. Dig into the underlying meaning of the data. What’s driving the numbers? What does the data really represent? Who is the data speaking for or to? People can manipulate data when they just look at what’s on the surface, but when you take the time to dig into the data further you can uncover the story that the data is really trying to tell. Then you can make real progress.

Even though your clients are the other departments you have to understand feedback from complaints and separate them so each item is actionable. Prioritize the feedback in a way that the client understand you heard them and you are doing something with it.

When I am looking at actions from analysis, I drop the actions in to one of four boxes. In box 4 are items that are not important and not urgent. Box 3 contains items that are urgent but not important. Box 2 is important but not urgent, and box 1 is both urgent and important items (fire drills). By focusing on box 2 you are tackling things that may become box 1 later and allows you to look toward the future. That’s not to say ignore items in box 1, they need attention urgently, but looking to avoid items making it into box 1 is the key. This method allows me to prioritize things right now. Prioritization is important to ensure you aren’t working on those things that won’t yield the best and most timely results in the right areas.

When prioritising actions, rate each item based on impact (5=high, 1=low), and complexity (5=low, 1=high). Impact is defined as the positive the change can have on the overall operating environment. Complexity is defined as a combination of effort, resources and money to successfully implement the change. Multiply impact by complexity to help you sort items.

Engaging right stakeholders in achieving the right decisions is vital. Question is who are the right stakeholders, how they consume the IT services and finally do you have a recurring feedback governance in place to seek their feedback on specific matter. Only seeking feedback on a solved IT ticket is a generic practice, usually in place however if we analyse, the average survey response rate (SRR) is below 15 percent, so there is a need to involve leaders of the functions, who consumes these IT services. Identifying right stakeholders for everything separately is a difficult task so it's recommended to have panel of cross functional leadership, in place who talks generally on all agenda matters, submitted by IT ops leader.

Seeking perspective from stakeholders means you’re challenging your own understanding of what the data is telling you. Be open to other interpretations and incorporate those into your own views on the data. This will help you overcome any future objections that may arise as you start to implement actions based on your findings. It also enables stakeholders to “buy in” to the changes you’re selling and will build a coalition for changes. You’ll need this as change often brings resistance.

Changing just to change is a recipe for failure. People are inherently resistant to change even when backed by data for the need. Clearly laying out the purpose of the change and the vision of what it will look like after the change will help build support for the change, especially if the change is transitional or transformative in nature. Find change advocates that can help you not only sell the vision but establish it properly. There may be aspects or impacts of the change you haven’t considered. These advocates can be your eyes and ears and should be considered trusted advisors. Bring them into your inner circle and listen to what they offer.

You can enhance IT operations and decision making to drive improvements when you effectively incorporate feedback. My thoughts: 1. Use structured methods, such as surveys or suggestion boxes to collect feedback, ensuring everyone has a voice. 2. Encourage a culture where people feel comfortable sharing insights and suggestions without fear. 3. Review feedback regularly to identify themes and prioritize areas for improvement. 4. Clearly communicate any changes made resulting from feedback, highlighting how employee input shaped decisions. 5. Continuously monitor the impact of changes and make adjustments based on ongoing feedback. IT operations can become more responsive, innovative, and aligned with team needs when you incorporate feedback.

After making changes, gather more feedback to see if issues are resolved or if new ones have emerged. This creates a dynamic feedback loop where improvement never stops.
