For example, the Barbican Conservatory in London feels like a forest within a city, and every event I have attended there has left me feeling calm and balanced. By contrast, event venues that have no access to daylight and are full of booths, single-use carpets, and plastic crockery feel synthetic, noisy and energy-draining. This is not to say that every event should be at a conservatory, but designing natural elements into the built environment certainly enhances the experience.

The integrated systems allow you to also track the impact of the site with how many unique clicks it has, how many registrations, how many interactions, etc. Sites like EventBrite (for online registration & tracking) and TinyURL or bit.ly for link tracking can all support this. You can also have a single paper with a QR code that leads to the online registration (and can also be done for event check-in instead of printing multiple pages of a delegate list). Do still try to have a digital back-up in case people's phones aren't working for scanning QR codes.

Digital Invites: Embrace digital invitations instead of traditional paper-based ones to minimize paper waste and environmental impact. Utilize email invitations, event management platforms, or social media channels to distribute event details and RSVPs electronically. Digital invitations not only save resources but also offer convenience, flexibility, and real-time communication with attendees. Encourage attendees to opt for digital tickets or mobile check-ins to further reduce paper usage during the event.

Digital platforms offer innovative and interactive engagement options for invitees. Additionally, they improve efficiency & is more productive. Opt for biodegradable, recyclable, or reusable materials. For example, potted plants make excellent centerpieces that can beautify your space without generating waste, as they can be gifted to guests or reused in future events. Other options include using recycled paper for decorative elements or renting items like linens and dishware instead of purchasing disposable ones. By integrating these sustainable practices, your event not only stands out aesthetically but also aligns with a growing demand for eco-friendly initiatives, appealing to a conscientious audience.

Conscious Catering: Partner with caterers that prioritize sustainability and offer locally sourced, organic, and seasonal menu options. Opt for plant-based or vegetarian catering options to reduce the environmental footprint associated with meat production. Minimize food waste by accurately estimating attendee numbers, offering portion-controlled servings, and donating excess food to local charities or food banks. Serve beverages in reusable or compostable containers and provide water stations instead of single-use plastic bottles.

Collaborate with caterers prioritising local, seasonal produce, catering for 70-80% of the expected crowd to minimise excess. This reduces food waste, supports local agriculture, and cuts the carbon footprint of long-distance food transport. Including plant-based options further lowers environmental impact. Conscious catering showcases your ability to deliver delicious meals while prioritizing environmental stewardship. Opt for reusable utensils, cups and plates to minimise waste. In digital invites, encourage participants to bring their own water bottles for refills and provide food segregation bins for proper waste disposal. These efforts demonstrate your commitment to sustainability and positively impact both guests and the planet.

Where possible you should try and avoid producing waste: whether its food, decor etc. Consider digital or reusable options first. It is important to work with a waste management partner who can correctly advise you. It isn't always as straightforward as setting up segregation points. For instance composting requires specialist collections to take waste to an industrial composter. These aren't always locally available, meaning compostable materials end up in your general waste. Similarly with biodegradable items. This term is pretty meaningless if it isn't put in the right environment to break down. So best to do your research first! Otherwise meaningful attempts to be sustainable could fall short of the mark.

Waste Management: Implement comprehensive waste management strategies to minimize the event's environmental footprint. Set up clearly labeled recycling, composting, and waste disposal stations throughout the venue to encourage responsible waste sorting by attendees. Work with waste management vendors or local recycling facilities to ensure proper disposal and recycling of event waste. Consider implementing a zero-waste policy or aiming for waste diversion targets to maximize resource recovery and minimize landfill disposal.

As an expert in promotional branding, I can't stress enough the importance of waste management in event planning. It's not just about sustainability, but also about brand image. Attendees appreciate and remember events that are eco-friendly. This can be further enhanced by using promotional products that are recyclable or compostable. For instance, branded reusable water bottles or tote bags can reduce waste and serve as a lasting reminder of the event. It's a win-win situation - you're promoting your brand while also contributing to environmental conservation.

Green Transportation: Encourage sustainable transportation options for attendees to reduce carbon emissions associated with travel to and from the event. Promote carpooling, ridesharing, or public transportation alternatives to minimize the number of individual vehicles on the road. Provide information on nearby bike racks or bike-sharing services for attendees who prefer cycling. Offer incentives such as discounted parking for fuel-efficient or electric vehicles to incentivize eco-friendly transportation choices. Additionally, consider offsetting event-related travel emissions through carbon offset programs or donations to environmental conservation initiatives.

Even when green transportation is impossible, you can make a "small" yet big difference by using Google Maps to propose the greenest route to your destination with regular cars or buses. Instead of choosing the fastest itinerary from point A to point B, you can select the most sustainable route for your event. It's a different way of approaching the concept of Slow Travel. It's better to take a bit longer to travel somewhere if you know it's better for the environment.

Consider offering discounted public transport passes or partnering with bike-sharing companies for attendees. You can also incentivize carpooling through contests or exclusive parking privileges. Remember, the easier and more rewarding you make green travel, the more likely attendees are to embrace it!

In addition to the practices already discussed, it's important to consider the lifecycle of all event materials. One innovative approach is to engage with suppliers who offer "take-back" programs for items like badges, signage, and decorations, ensuring they are recycled or repurposed responsibly after the event. Also, consider the power of digital tools not just for efficiency, but for sustainability. Live streaming portions of your event can reduce the need for travel, lowering the carbon footprint. Lastly, feedback from attendees about the sustainability measures can provide invaluable insights, helping to refine and improve these practices for future events, and continuously enhancing the sustainability of the event planning industry.

Start by teaming up with your venue and vendors. Often, they already have sustainable practices in place that you can easily adopt. Don't forget to do your research—there are tons of simple yet effective ways to make your event eco-friendly. Consider going paperless, ditching plastic bottles, or choosing a menu with locally sourced, farm-to-table options. By taking these steps, you can make a big impact with minimal fuss.

We can use our events as an opportunity to educate attendees about sustainability and inspire them to adopt environmentally friendly practices in their daily lives. For example, we can incorporate educational workshops, panels, or interactive exhibits that highlight sustainable living principles and provide practical tips for reducing environmental impact.

We have developed and encourage all of our clients to upcycle their event print items. With Dye-Sublimation printing on fabric becoming a standard practice, this has become a huge contributor to waste from events and typically end up in a landfill. Our team takes these large format fabric prints and can make promotional items as giveaways so attendees or staff can have a keepsake and useful item with these discarded fabrics. These can be totes, lunchboxes, string bags, laptop covers, etc. The largest challenge is that even companies that have a robust CSR program or sustainability metrics are not yet putting dollars into the system. We are certainly seeing an upswing, but it is not there yet.

With the technology available to us these days and the widespread use of laptops, tablets and smartphones, so much of what we have traditionally printed can and should be moved online and/or digital. This can reduce thousands of pounds of paper waste from events as varied as conferences, workshops, fundraisers and more. It also saves on printing costs, postage &/or courier expenses for shipping paper items to guests/attendees and venues.
