Here's how you can enhance your software design presentation skills for effective idea communication.

Make sure to investigate the background of the presentation attendants. Check their professions, academic profile and area of industry in which they work on. Identify the "why" they would want to hear you: is the topic valuable for them because of the organization they work in? Is the topic interesting because of their academic inclination?. This will help you greatly to maintain their attention and make them feel engaged with what you have to say. And last but not least, make sure you use the correct technical language. Are you talking about medical software and your audience are health related professionals? Make sure to use a language they can understand and relate to.

1st understand the frequency of audience and plan accordingly. -> Do background study well which includes secondary and primary information. -> Test, result and critical analyis using aligned methods are key observation methods to generate the unbiased factual information. -> Factual info based Patterns, directions and outcome of the design. -> What is the gap between past, existing, and proposed idea/design. -> How the proposed design/idea makes the best possible case for the solution and target customer. -> How its usable, salable, marketable, scalable and sustainable. -> What is the summary/outcome of the whole efforts. What's ROI -> Coverage of solutions, its relevance, robustness,resources ,challenges, novelty and future possibilities.

Before creating any presentation, a list of expected questions can be prepared, keeping audience level of knowledge and understanding in mind. If audience is unknown or a mix, presenter could start with some introductory questions to get an idea about the level of understanding. Examples and references in the presentation should be easy for the audience to relate and understand, controversial examples can be avoided, few humorous examples are really helpful in keeping audience involved. Scope of requirements and how it effects real life, possible solutions with pros and cons, why the particular solution was picked over others, high level architecture of the solution with possible impediments. Detailed vocabulary of the terms used.

My first technical presentation was a complete disaster. The day before, I spent hours diving deep into the application architecture, crafting a presentation so technical that even a seasoned engineer would need a coffee break. But I made one critical mistake: I didn't gather any information about my audience. Turns out, they were customers who just wanted a high-level overview, not a PhD thesis. After an hour of my enthusiastic, jargon-filled monologue, I glanced at the audience. They looked as excited as people waiting at the DMV, probably wondering when the torture would end. Lesson learned: know your audience!

If you are presenting a S/W design for a specific skate holder need. Most important thing is to start with problem or use case or stake holder needs. The design options are available, then do a deep dive of your design. At last describe the benefits.

1. Current state of the system with diagram. 2. Requirement and how it effects the real life. 3. Possible solutions with pros and cons. 4. Why a particular solution was picked over others. 5. High level architecture of the solution with detailed diagrams. 6. Possible impediments. At every step interaction diagrams, state diagram etc are used to help people visualize the requirement, solution and architecture.

I usually draw graphs, flows and tables. I do this by adapting to the context of my audience. According to what they know. Often, before any presentation I try to find out a few things about the work this audience

Whenever I've to prepare a presentation I always make sure to understand the topic from a systematic approach, so every step of my thought process is able to be connected to the next idea in a clean and clear way. One of the best ways (at least for me) to tackle this process of understanding, is to create pen & paper diagrams in whatever standard you want (DFD, UML, BMPN, etc) and make sure it makes sense. Then, take that and make a nice presentation of it. Maybe the only thing you need is the diagram, depending on who's receiving the information. So, basically the steps I take are similar to: Topic -> Systematic Approach -> Scribble diagram -> Formal Diagram -> Presentation

The most important thing is to organize the speech in a simple way, ensuring consistency. This means using a uniform color scheme and a logical flow of information. However, the most crucial point is not to prepare the present. as if you were reciting a poem. Instead, focus on engaging your audience. Use anecdotes or personal stories to make your points more relatable and memorable. The present. flow should feel natural, akin to telling a story.This approach not only captures the audience’s attention but also helps to convey your msg more effectively.

Visual aids are very important to make things more clear and easy for the audience to relate to your explanations. Use the industry standard UML language and tools

Being confident is the most important thing for me. this depends on the adequate preparation. Then with a peaceful mindset to present, you will calm down, like water, to flow your presentation to the audience.

Adequate volume, tone, inflection, hand gestures, space usage / movement, singular pronouns while referring to the public, eye contact, time management, question answering, and the list goes on. You have to pay attention to a lot of stuff while presenting, and that's why practicing your presentations skills is so important. You have to make some of those factors or practices second nature, so you don't even have to think about them. Always rehearse your presentation with friends and colleagues. If you have stage fright, start by rehearsing in an audio only meeting! It will get easier the more you practice.

Questions not only help in making improvements but also indicate the level of involvment of audience in the presentation. Precise to the point answers help in keeping the momentum and interest of the audience. Questions answered with facts and reasons help achieving acceptance. Not every question can be answered, so some can be taken offline with polite request. Out of scope questions can be politely requested for offline discussion.

Questions are always important because they allow you to see your ideas from another perspective. Good questions can open a welcome debate and highlight positive system characteristics that you may not have considered during the presentation. Engaging with your audience through questions not only helps clarify any doubts but also demonstrates your openness to feedback and collaborative thinking. It can reveal new insights and aspects of your system that were not initially obvious, ultimately enriching the overall understanding and potentially leading to innovative improvements.

No matter how much non-technical or naive an audience question sounds, it should be noted and used as reference in preparing/improving future presentations. A technically strong person can help in refining a presentation but a review with a non technical person can be sometimes really helpful. Watching recorded presentation afterwards really helps in finding gaps in our style of communication and presentation.

The very first thing, in my opinion, is to have a very clear understanding of the idea, its implications, its use cases both typical, uncommon or edge and how to address all of them.
