The best piece of advice I can tack on here is to revise top to bottom once for flow and comprehension. Make sure the process is correct. Revise bottom to top for grammar, spelling, punctuation, and active/passive voice.

Along with audience targeting comes "use case": what is the user trying to accomplish with this document? This becomes the "thesis statement" to draw the document back to center for every section. Asking this question sometimes results in breaking the document into sections by information type: reference, task, and concept.

I wish someone would have told me how important this was before my first job! Not every report or communication needs to explain in exhaustive detail the intricacies of the mechanical system. Managers and leaders prefer short and sweet updates that allow them to communicate up their chain. Bogging down the update in extravagant detail can muddle your overall message. Remember, they hired you to understand the mechanics. They didn't hire a mechanical engineering professor to teach them!

This is an amazing idea to keep in mind. I've also found that, when writing for different audiences, it's extremely important to ask questions. Even if it sounds 'dumb' to ask, it's best to clarify exactly who your audience is and what they're trying to achieve by using your text.

Similar to my comments in audience analysis, your report needs to respect the time and experience level of those who are intended to read it. Reports should be structured such that the deeper you go into into it, the more technical it becomes. The first few sections should be simplified overviews and status updates for managers looking to get what they need to present. The rest of the report should be written for those who are looking to understand why you came to the conclusions of the summary and repeat them if necessary.

If at all possible, it's a helpful idea to use templates for your articles. Have different ones for process VS informational but differentiate where you can. This creates a much simpler way to immediately understand what type of document your audience is reading and what they can expect.

Boost your impact with visuals! Incorporating clear and well-designed diagrams, charts, and 3D models into your technical documents can significantly enhance understanding. Visual aids not only break down complex information but also improve information retention for both technical and non-technical audiences. When writing a technical document, it is easy to get lost in the technical details and ensuring that all of the info is referenced properly. Most technical writers also focus on getting particular bits of technical information across and may not realize the need for revising the document before sending it off. The revision process is critical especially to catch any errors. It is also important to step away from the article for a few hours or days (this is time sensitive to your deadline) as it allows you to see the article from a fresh view point and you can make changes you need before the article gets published. Revision is very important.
