One of the things I love about my job...its not about life and death....thus not everything needs to be done right now and drop everything else...when someone comes to me with their 'problem' and they state the urgency of it...9 times out of 10 the urgency is exacerbated by the fact that they don't solve the Need, just the problem and that in turn happens because you don't take time to assess the problem to solve the need...mind you...you solve the unmet need you probably are SOLUTIONING the immediate problem but more importantly you are solving multiple problems that have not been escalated

Managing workload requires effective delegation. Delegating tasks appropriately involves assigning responsibilities based on team members' strengths, skills, and developmental goals. This strategic approach ensures that tasks are matched to the right people, enhancing efficiency and job satisfaction. When delegating, it is crucial to clearly define the responsibilities and provide team members with the authority they need to complete the tasks effectively. The initial step would be determining the skills of each team member and assessing their current task load. Reorder your tasks by priority, and then allocate them according to the capabilities and strong points of individual performers. Monitor progress through regular check-ins and make changes whenever necessary to fit assignments more precisely. Any problems or possible overloads should be dealt with in a free way of talking amongst teammates. Ensure clarity by using project management tools such as software for tracking deadlines and tasks. The working environment should be characterized by mutual support between employees on the same team.

Knowing each individual in your team is an advantage and can help you delegate the right task to the right person. However, knowing each milestone in the project against the main goal and the resources you have, will help you to know the workload among project members, and analyze the workload.

After you have grasped what your team can do and what the project requires, it is very important to proceed setting priorities. To satisfy clients’ demands and meet deadlines, you should concentrate on immediate and vital activities primarily. Your team members need to be well informed about their duties and the order of tasks; hence communicate these priorities to them explicitly. Consequently, there would not be any misunderstandings leading to timely accomplishment of essential jobs instead of doing them in a hurry last minute.

How do you balance the workload? by making sure that the work that is being done provides measurable digestible (piecemeal) value. As impressive as it is that the church in Barcelona took 200 years to finish ...the value of it was achieved by showcasing (and thus funding) the little pieces...same applies to your work , Prioritize on Value then rank by effort to result and you will always have happy customers!

Create a ranking engine that allows you to rank and prioritize, now there are many tools out there ...but this ranking engine and priority scoring engine needs to be factual...tools can be as simple as a whiteboard or as complex as full-blown SAP PLM model but in the end it is about the metrics you all agree on...thus People need to agree on a Process so a Tool can Represent the process that people agreed upon to be executed expeditiously.

Workload is managed through workload adjustment on basis of capacity of team members, set of skills & supportive to each other in accomplishments. Work load is auto adjusted among team members as per available cushion in aforementioned elements.This all work in presence of assurance of fair treatment, prestige and career growth alongwith other prosperous elements. These elements inspire each team member to participate zealously in project and give best performance by sharing workload of each other in supportive way. This phenomena is transformed into team work and resulting in delivery of desired yield in projects. In this whole episode, responsibility should be visible for accountability within each component of a project.
