Not only is listening a key requirement in handling negative comments and feedback but demonstrating physically you are listening is just as important. Rule of thumb when having discussions whether it is one person, a small group or a large public meeting is to be sure you do less talking than the others. It also does not hurt to show you are paying attention by taking notes on what is being said to show you are taking it seriously. As a further sign of meaningful listening, always be sure to respond directly to criticism by acknowledging you heard what was said and offering a direct answer to the comments. While not necessary, it can be helpful in providing everyone in attendance with a copy of the notes taken and your responses.

Big mistake is taking negative comments in feedback personally and respond defensively without thinking through the reasoning and rationale behind the criticism. Keep in mind that as a change agent which is what a grant administrator really is that you are the face of what will happen with the grant which may cause fear, concern, uncertainty because it is change. It means when receiving criticism it is worthwhile to delve deeper to assess what really is causing it. In many instances, it may very well be a lack of understanding about the planned grant outcomes or concern on what the outcomes will cause. It is always prudent and strategically wise to answer all criticism constructively and keep the door open for more feedback.
