Here's how you can effectively convey technical concepts to non-technical team members as a System Architect.

Simplifying ideas does not mean dumbing-down, but rather making them easier to relate to. The best way to make your analogies work is to leverage the power of storytelling. As humans, we evolved to absorb, hold-on to, and draw connections between incredibly complex relationships. By using a user-centric workflow or story as the thread where the concepts are attached, non-technical people can naturally follow along, and find inconsistencies immediately, helping these engagement be a lot more productive, with less of a need to return and re-explain later. Let your audiences brain do more of the work by communicating in human terms.

Analogy is a powerful tool in the pursuit of conveying technical concepts to non-technical team members. Drawing parallels between a complex system and common real-life scenarios can help simplify the process of understanding. For example, a micro-services-based architecture can be effectively explained by drawing parallels to various departments of the govt. Each micro-service has a specific function and so does each department of the govt. The communication between the micro services are akin to the formal communication protocols between various govt departments... and so on.... On a side note - the more an architect is able to draw such parallels, the better his designs will get.

Simplify language, avoiding jargon. Use analogies like comparing systems to a car: engine (core functionality), transmission (data flow), dashboard (user interface), and fuel (input data). Utilize visual aids like diagrams and charts. Present information as engaging narratives with real-world examples. Encourage Q&A, and hands-on activities. Regularly check for understanding and provide clear, easy-to-read documentation and additional resources. Be patient and empathetic. These strategies enhance understanding, collaboration, and project success.

To simplify the idea, we need to understand our audience first. System Architecture are story about building block connectivity and it's connection. To tell story about system architecture, we need to use audience terminologies about what's is the "block", and how the blocks connected with audience domain language. This domain language may differ between one audience group to another audience groups. We may need explain the same architecture differently to different audiences group.

Emphasize how your system architecture improves the reliability and uptime of critical applications. Provide metrics such as reduced downtime, improved mean time between failures (MTBF), and faster recovery times. Highlighting these aspects demonstrates your ability to create robust systems that ensure business continuity and minimize disruptions, which are crucial for maintaining operational efficiency.

System architecture diagrams can be overwhelming for non-tech people. Try to build the diagram incrementally (e.g. using powerpoint) so that you can explain it as a story that starts small and only then gets complex.

Same with the language, visual aid also have their own set of relation with audiences. some audiences may understand UML, but another may need icon of product type, or even the product logo directly. e.g, showing database part, sometime cylinder is enough, sometime directly mysql/postgreSQL logo needed. Level of details also may need to be adjusted depends on the audience, e.g sometime we need to put the application only as a block only, but more details on the people processes.

Using Vision flow diagrams and then exporting them section by section into PPT works best for me. I find using infographics to articulate integrations and validations helps break down any barriers that might existing with swim lane diagrams or technical workflow diagrams.

In mastering the art of effective technical communications, it is necessary to be in control of ones presentation. Therefore it is a must for the System Architect to know when to speak and when to remain silent. This is where the graphical side of the presentation must speak for itself..................after all: * A picture is worth a thousand words It is necessary to maintain the passion of the presentation by presenting directly related: * Images * Models * Diagrams * Flow Charts * Schematic perspective * 2-D layout * Representation of process * Design * Draft If necessary, crafting and creating a hand drawn diagram, live during the actual presentation can also capture the audience and enable deeper understanding of subject matter.

Incremental learning can also be enforced during the workshops and meetings on the system architecture. Ask the involved participants if they are still following the discussion flow and if you can proceed with more detail. During the workshops or discussions on architectural topics ask the business/non-technical team members to explain the discussed aspect in their own words. This will not only show the level of understanding of the topic on their side, but provide a unique perspective for the technical personnel. In addition, other non-technical experts might find such explanations more understandable and acceptable if they hear it from the other non-technical experts.

As using audience domain language, and start with higher level of detail, it can establish connection with our understanding about the system architecture with audience understanding. After that we can expect audience will start having questions related the subject, then we go detail through the audience questions. some time it will be go broader, sometime it will go deeper.

Introduce new concepts gradually, building on what the team already knows. Start with the basics and progressively dive into more detailed aspects. This incremental approach helps to avoid overwhelming your audience and allows them to develop a solid understanding step-by-step.

Understanding the context of your audience is key to choosing analogies that will resonate long-term, as it is not only important that people can understand the system architecture once, but you'll want them to be able to hold on to a sufficiently accurate mental model so they are able to make sense of new information without having to repeat the entire presentation. For example, when trying to explain the concept of transducers to interaction designers, I've leaned into their personal experience or hobbies, e.g. drawing parallels with musical instruments and equipment (microphones, amplifiers, noise, etc.), and connecting those concept to other types of sensors.

System architecture are only knowledge, conceptual descriptions, to audiences with roles, they will looking for actionable that can be performed, what's required for the actions from the system architecture. Audience will see the gap from system architecture explained with his current tools. System architect need to explain it from the shoe of the audiences.

I generally define tasks using the activities performed by users on the system. I also use the roles they play and the names of the people using the different user interfaces.

If the audiences can see the gap from their current "tools" with system architecture, the question will be arise in audience's minds, but sometimes ( most of the times ), they will need more encouragement to speaks the questions out. System architect need to initiating the dialog/discussion from slightest response from the audiences. Being able to read micro expression from audiences can help much in this stage.

Allowing the audience to engage with the passion created by the System Architect is a key requirement for an effective presentation. Once the audience members have ignited the passion, they no longer feel shy or embarrassed to contribute to any parallel discussions. Therefore, it is also necessary to maintain the connectivity with the audience by requesting them to either: * Contribute to the discussion or, * Ask of any queries that they may have? or, * Ask an actual question ? or, * Present any comments based on the presentation so far? or, * Provide any feedback which they may feel is important? Always maintain the skeletal backbone of the plot and the story line with all these responses, as developed right from the start.

There is this saying "UX is like a joke. If you have to explain it, it isn’t that good." This can also apply to architecture as well.

As a system architect, effective communication is not just a skill; it's a superpower. By mastering the art of translating complex technical concepts into clear and understandable language, you can empower your team, align stakeholders, and drive projects towards success. Remember, effective communication is a two-way street. Most of the time, non-technical individuals interested in the architecture or key technical concepts approach these topics from their own unique concerns. They may be particularly focused on issues like performance and system resilience. They might also inquire about the implementation costs and scalability potential of the system. Additionally, they may seek comparisons with existing systems they are familiar with, possibly the ones with problems, and they want to hear how the proposed solution mitigates those problems. It is crucial to uncover and address these perspectives during initial or ongoing communications with non-technical people. Otherwise attention will be lost so quickly no matter how well the concepts are explained.

I think, First, we must understand the skill set of the non-technical team member, and his/her strong side/ability, and then plan the technical concepts in smaller chunks rather than telling them in a single solution. For example, if someone is good at pictorial representations then we can demonstrate like AWS services study materials. For BSD writers or BA so we must make them understand the story point either by simple language or by using technical writing tools. For a good leader or sales guy, probably we can use tailored language and tools or questionnaires. In a nutshell, It should depend on the non-technical team member's skills and capabilities, and that we must understand as a System Architect.

Developing a common language grounded in the company's business context can be very helpful. Once established, this shared language can be used in examples, diagrams, and discussions. Team members who are already familiar with the business context will find it easier to understand and engage with the technical concepts.

Whilst maintaining effective communications, it is also necessary to gain understanding of the audience itself. Obviously, Knowing oneself first, then gaining knowledge quickly & effectively of the audience is essential in delivering a successful presentation. Even during the discussions must pay close attention to the audience, their needs and requirements. An effective System Architect must never look down on the audience and must treat them as equals, after all............we must: * Never treat the audience as customers, but always as partners Show that we care about them & treat them the way we want to be treated ourselves! They will engage with us and it will also be possible to broaden our horizons, to their comfort zones.
