We all hate our email inboxes at times. But there's a reason email is still the #1 internal comms channel. We need to use it for official news. Team messaging platforms like Slack or Microsoft Teams, intranet platforms, etc. can't guarantee that all intended employees received an update. Whether they click and read through it or not, legal and compliance want that record of secure delivery at the individual level. That said, sensitive information often needs context, empathy and leadership presence. Don't forget about pairing an email with in-person connection time like a townhall, Q&A session, group huddle, etc. Finally, all channels are at risk of leaks these days. Internal and external comms should work together to finalize a plan.

This approach limits dissemination to the individual directly affected and allows for a more personal interaction. For example, if a team member disrespected a leader during a meeting, you might need to meet with them individually to address the issue and outline expectations moving forward. For sensitive information impacting a larger group, such as departmental restructuring, a carefully worded email or a small group meeting followed by a detailed document can be effective, ensuring everyone receives the same clear and consistent message.

I'll say don't be afraid of tech! There are many tools these days that enable us as communicators to securely share confidential information by requiring the recipient to either enter a password with 2FA or provide a special login. Eg Dashlane, Last pass
